Care Team Assistant - Pediatric & Young Adult Medicine

The Care Team Assistant plays a key role in ensuring efficient clinic operations and high-quality patient care. Serves as the first point of contact for patients, providing a professional, courteous, and welcoming experience for all individuals who contact or visit the clinic. This role supports the clinic and physician care team through a combination of administrative and patient care services, including maintaining accurate medical records and preparing patient information for daily provider clinics.  

This is a full-time role, Monday - Friday 8:00 AM - 5:00 PM options to work in a rotation on Saturday 8:00 AM - 4:00 PM out of our Maplewood location.

Pediatric & Young Adult Medicine is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare. 

Essential Job Functions:  

• Greets all patients that enter the clinic within a reasonable amount of time


• Obtains all demographic and billing information to assist in accurate and timely billing procedures


• Photocopies patients’ insurance cards, obtain signatures, perform registration protocol, and check patients in


• Answers phones within a reasonable amount of time


• Schedules appointments


• Reviews Provider’s schedules on a daily basis for days off and schedule flow


• Has a general understanding of the Medical Records area to follow written protocol and understand confidentiality, legal, and payment rules to release information


• Fully participate and contribute to the patient centered health care


• Request charts for upcoming appointments


• Scan patient information into electronic medical record


• Verify patient information is accurate and up to date in electronic medical record


• Prep for patient appointment, including patient face sheet, portal forms, worksheet, diagnostic results pertaining to the appointment, and other provider requests


• Distribute Efax reports daily


• Provide communication and liaison between providers and patients


• Obtains benefit, referral and/or authorization requirements per insurance guidelines


• Provide follow-up to patient inquiries, contacting provider and/or insurance company as necessary

• Maintain a working knowledge of health care plan requirements and health plan networks


• Work independently with minimal supervision.


• Other duties as assigned.

Education and Experience:  

• High school diploma/GED or equivalent


• Customer service experience, telephone skills, and Windows computer skills


• Administrative or medical office experience preferred


• Medical terminology knowledge strongly preferred

Working Conditions:  

• Ability to sit for extended periods (up to 8 or more hours per day).


• Frequent use of hands and fingers for typing, writing, and handling documents.


• Occasional standing, walking, bending, or reaching within the office environment.


• Ability to lift and carry office supplies or files weighing up to 20 pounds.


• Visual acuity to read electronic and paper documents.


• Auditory ability to participate in phone or video calls clearly.


• Manual dexterity to operate standard office equipment (e.g., computer, phone, printer).
