Carlin - Industrial Hygiene Administrative Assistant

Our people division is growing, and we are looking for an Administrative Assistant to join the Carlin team, reporting to the Carlin Surface Industrial Hygiene General Supervisor. The successful Administrative Assistant candidate will be responsible for administrative support for the Carlin Industrial Hygiene department.

Responsibilities:

As an Industrial Hygiene Administrative Assistant, you will be responsible for:

• Under limited supervision, perform a variety of administrative duties, requiring knowledge of department policies and procedures.


• Utilize peers and direct supervisor for a moderate amount of guidance.


• Serve as a liaison between leadership and employees, schedule appointments, meetings, event planning and coordination as necessary.


• Coordinate with divisional teams and the IH team to schedule meetings or events as needed. 


• Auditing, uploading documentation, drafting reports, pulling system data, and other aspects of the associated applications and systems. 


• Scanning, filing, and maintaining files with advanced knowledge of storage systems. 


• Assist with tracker management and record retention requirements to meet regulatory and company requirements as well as support continuous improvement.


• Compose correspondence, edit documents, and transcribe meeting minutes as necessary.


• Maintain office supplies, order, obtain quotes, generate requests for payment, and invoice management.


• Perform copying, collating, binding, packaging, etc., of documents as requested by department personnel including mail/messenger/meeting preparations.


• Effective time management, trouble shooting and problem solving for assignments and project coordination as requested.


• Interact with groups and effectively express ideas.


• Continuously collaborate with subject matter experts to gain knowledge and understanding of industrial hygiene processes and systems.


• Seek out and optimizes on development opportunities.


• Perform other duties as assigned.

Qualifications:

• Knowledge and skills equivalent to that gained through a minimum of two (2) years clerical/secretarial experience; preferred 


• Excellent front line, professional environment customer service skills with the ability to communicate and interact effectively with internal and external stakeholders required


• Ability to handle confidential information with discretion required


• Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, Power Point, Visio) Oracle, SAP, or similar ERP required


• Effective time management to organize and prioritize a heavy workload in a fast-paced, demanding environment required 


• Ability to work unsupervised, and understand/follow work standards and procedures required 


• Advanced experience with electronic filing systems and excellent organizational skills preferred
