Job Description - Case Advocate


Neo Surgical Group is seeking a detail-oriented and highly organized Case Advocate to join our growing team. The Case Advocate plays a critical role in coordinating patient care, ensuring timely scheduling, maintaining accurate case records, and serving as a liaison between patients, attorneys, referral sources, and clinical staff.


The ideal candidate is proactive, dependable, and able to manage multiple priorities in a fast-paced healthcare environment while providing exceptional customer service.


Essential Duties & Responsibilities



  • Oversee patient scheduling timelines to ensure appointments are booked with the appropriate provider and within required timeframes.

  • Collaborate with Medical Assistants and the Scheduling Team Lead to identify and resolve scheduling discrepancies.

  • Review and confirm insurance policy limits and case-related information.

  • Verify upcoming patient appointments one business day in advance.

  • Communicate with patients regarding appointments, treatment plans, and scheduling needs.

  • Notify attorneys and referral sources when patients decline treatment or discontinue care.

  • Maintain and update patient statuses within tracking logs and internal systems.

  • Ensure patient records and case information remain accurate and up-to-date.

  • Monitor patient progress through the treatment process and escalate issues as needed.

  • Maintain confidentiality and comply with HIPAA regulations.

  • Perform additional administrative duties as assigned.


Qualifications



  • High school diploma or equivalent required.

  • Minimum 1 year of healthcare, medical office, case management, patient advocacy, or scheduling experience preferred.

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication abilities.

  • Ability to work independently and as part of a team.

  • Proficiency in electronic medical records (EMR) systems and Microsoft Office.

  • Knowledge of personal injury (PI), orthopedic, pain management, or specialty medical practices is a plus.

  • Strong attention to detail and ability to follow processes accurately.
