We’re looking for a Case Manager who shares our mission to join our team and help support the operational backbone of our care delivery.
Position Overview
The Case Manager plays a vital role in ensuring clinical and operational success by managing staff schedules, coordinating client assignments, and serving as the communication bridge between families and providers. This position is based in St. Louis, MO, and is fully onsite at our clinic.
Key Responsibilities
Scheduling & Availability Management
Create and manage weekly schedules for technicians and therapy staff based on authorizations'
Coordinate shadowing schedules for new hires and trainees
Monitor and adjust schedules due to cancellations, PTO, and other changes
Approve staff availability updates in collaboration with the clinical lead
Communicate all scheduling changes to families and staff in a timely manne
Staffing & Clinical Coordination
Assess staffing needs and collaborate with HR to ensure appropriate coverage
Partner with BCBAs to assign clients, schedule evaluations, and adjust caseloads
Support lead BCBAs with performance reviews and staffing challenges
Help salaried BCBAs reach required billable hours by identifying opportunities
Family Communication & Client Support
Serve as a key point of contact for families regarding scheduling and general concerns
Conduct monthly check-ins with active clients and families waiting for services
Send attendance contracts and handle parent concerns professionally
Ensure clear communication of holiday and schedule changes
Administrative & Compliance Tasks
Manage caseload assignments and treatment teams in Rethink
Track cancellations, run weekly reports, and distribute them appropriately
Inactivate clients in Rethink when on hold or discharged
Support billing, insurance inquiries, and assist with audits as needed
Provide basic HR support and assist RBTs with day-to-day questions
Requirements
Qualifications
Experience in ABA, behavioral health, healthcare administration, or case coordination
Strong organizational and communication skills
Proficiency with EHR platforms (e.g., Rethink) and Excel preferred
Ability to manage multiple priorities in a hybrid work setting
Comfortable collaborating across clinical and administrative teams
Professional, compassionate approach to client and staff communication
