Case Manager / Safety Administrator

The Case Manager / Safety Administrator provides the administrative backbone of the site HSSE program at the Fermi Matador construction project and serves as the coordinator for work-related injury and illness cases. This dual role owns HSSE recordkeeping, document control, and training/certification tracking, and manages injury cases from first report through medical coordination, return-to-work, and case closure — working closely with the site clinic, HR, supervision, and the workers’ compensation carrier. Reporting to the Safety Manager (HSSE), this is a detail-driven, site-based support role that keeps the safety program organized, compliant, and responsive while protecting the confidentiality of sensitive information. 

Case Management 

• Injury & illness case coordination. Serve as the primary point of contact for work-related injury and illness cases; coordinate medical treatment, transportation, and follow-up appointments with the site clinic and occupational health providers. 
• Return-to-work program. Administer the return-to-work and modified / light-duty program; track work restrictions and coordinate suitable duty with supervisors and HR. 
• Workers' compensation interface. Coordinate with the workers’ compensation carrier and third-party administrator; assemble case documentation, track claim status, and support cost-containment efforts. 
• Case files & confidentiality. Maintain organized case files and status logs; handle medical and personal information confidentially and in compliance with applicable OSHA and privacy requirements. 
• OSHA recordkeeping. Support recordability determinations and maintain the OSHA 300 / 300A / 301 logs and supporting records. 

Safety Administration 

• Document control. Maintain the HSSE document-control system — controlled procedures, plans, forms, permits, and inspection records — ensuring current revisions, version control, and easy retrieval. 
• Training & certification tracking. Track workforce orientations, certifications, and competency records; flag upcoming expirations and schedule refreshers. 
• Data & reporting. Compile HSSE metrics (leading and lagging indicators), incident logs, and inspection data; prepare recurring reports and dashboards for HSSE leadership. 
• Systems administration. Administer safety / observation and workforce-tracking software; manage user access, data entry, and periodic audits of records. 
• Meetings & audit support. Coordinate safety meetings and committee minutes, maintain required regulatory postings, and support internal and external audit preparation. 
• Supplies & logistics. Track PPE and safety-supply inventory and support related purchasing and logistics as needed. 

Required Qualifications 

• Associate’s or Bachelor’s degree in occupational safety, health administration, business, or a related field, or an equivalent combination of education and directly relevant experience. 
• 3+ years in safety administration, medical case management, workers’ compensation, or HSSE coordination, ideally in construction or industrial settings. 
• Strong recordkeeping, data-entry, and document-control skills with a high level of accuracy and attention to detail. 
• Working knowledge of OSHA recordkeeping (29 CFR 1904) and injury / illness case-management practices. 
• Proficiency with Microsoft Office (Excel and Word) and EHS / safety-management software. 
• Ability to handle confidential medical and personnel information with discretion and professionalism. 

Certifications 

• OSHA 30-Hour Construction preferred. 
• Current First Aid / CPR / AED certification. 
• Case-management (e.g., CCM) or OSHA recordkeeping certification a plus. 
• Valid driver’s license. 

Preferred Qualifications 

• Experience on large construction, power, or heavy-industrial projects. 
• Familiarity with workers’ compensation administration and return-to-work / modified-duty programs. 
• Experience administering EHS / observation platforms and training-tracking systems. 
• Bilingual (English / Spanish) a plus. 

Physical & Site Requirements 

• Primarily site-office based with regular presence in the field on an active construction site in the Texas Panhandle, including exposure to heat, cold, dust, noise, and uneven terrain. 
• Ability to move about the site, climb ladders / stairs, and wear required PPE when in the field. 
• Ability to accompany or arrange transport for injured workers to medical appointments as needed. 
• Availability to support extended shifts and to respond to injury / illness cases as they occur.
