Cash Manager

Description

The Cash Manager is responsible for overseeing all aspects of cash posting and reconciliation within the revenue cycle department. This position ensures accurate and timely application of payments from patients and third-party payers, manages refund processing, monitors unapplied and misapplied payments, and works closely with the billing and finance teams to support the financial integrity of the organization. The ideal candidate demonstrates leadership, operational efficiency, and a strong understanding of healthcare payment systems and revenue cycle processes.

Key Responsibilities:

• Supervise electronic remittance advice (ERA), lockbox deposits, manual payments, credit card transactions, and patient payments daily cash posting operations including
• Reconcile daily deposits and batches to ensure all payments are accurately applied
• Monitor and manage unapplied, misapplied, or unidentified payments; lead resolution efforts with internal staff and external payers
• Manage the Financial Reconciliation tool in Medistreams to ensure all remits and payments are matched and exported 
• Enter Remit IDs in the Payer Library in NextGen for failed remit imports 
• Collaborate with accounting to ensure cash reports, month-end close, and bank reconciliations are completed accurately and timely
• Maintain and update policies and procedures related to cash posting, reconciliation, and refund processes
• Identify workflow inefficiencies and recommend improvements to optimize payment application processes
• Develop and track key performance indicators (KPIs) for cash posting staff and processes
• Supervise, train, and evaluate performance of cash posting
• Assist with internal and external audits as needed
• Serve as a liaison with finance, IT, and third-party vendors (e.g., clearinghouses, banks) for cash-related issues
• Manage payer portal accesses for team members 
• Approve employee time cards and PTO requests 

Requirements

Qualifications:

• Associate’s or Bachelor’s degree in accounting, business administration, healthcare administration, or related field preferred
• Minimum of 3–5 years of experience in a healthcare revenue cycle or cash management role required
• Prior supervisory or team lead experience strongly preferred
• Strong knowledge of insurance payment processing, EOBs/ERAs, and healthcare billing practices
• Familiarity with EHR and practice management systems; experience with NextGen a plus
• Proficiency in Excel and other Microsoft Office applications
• Excellent analytical, problem-solving, and organizational skills
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
• Ability to work effectively as part of a team and collaborate with other departments
