Position Title: Catering Coordinator
Reports To: Director of Brand Growth / Leadership Team
Position Summary: The Catering Coordinator is responsible for supporting catering growth, execution, and guest satisfaction by organizing orders, communicating clearly with guests and team members, and ensuring every catering experience reflects excellent service, accuracy, hospitality, and operational care.
Key Responsibilities
· Manage catering inquiries, order details, confirmations, and guest communication in a timely and professional manner.
· Coordinate catering orders from initial request through preparation, pickup, delivery, or completion.
· Ensure order accuracy, packaging quality, presentation standards, and timely execution for all catering orders.
· Communicate catering needs clearly with the kitchen, front counter, leadership, and delivery team members.
· Maintain organized records of catering orders, payments, guest preferences, follow-ups, and recurring opportunities.
· Build relationships with businesses, schools, churches, community organizations, and regular catering guests.
· Support catering sales growth through follow-up calls, outreach, sampling opportunities, and excellent guest care.
· Monitor catering supplies, packaging, utensils, condiments, labels, and delivery materials to ensure readiness.
· Assist with setup, staging, delivery coordination, and problem-solving when catering needs change.
· Represent the organization with professionalism, hospitality, and a service-first mindset in every guest interaction.
Qualifications
· High school diploma or equivalent required; additional coursework in business, hospitality, culinary arts, communications, or related field preferred.
· Previous experience in catering, food service, hospitality, customer service, sales, or administrative coordination preferred.
· Strong organizational skills with the ability to manage multiple orders, timelines, and guest expectations.
· Excellent verbal and written communication skills.
· Ability to work independently, follow through on details, and collaborate effectively with team members.
· Comfortable using basic technology, order systems, email, spreadsheets, and communication tools.
· Demonstrates reliability, professionalism, confidentiality, and sound judgment.
· Must possess a valid driver’s license.
· Must pass a background check and vehicle driving records.

Schedule and Physical Requirements
· Availability will mostly include 10am-2pm; Monday through Saturday, 1-2days off per week.
· Must be able to stand, walk, bend, reach, lift, carry, and transport catering items as needed.
· Lifting to 30lbs.
· Must be able to work in a fast-paced food service environment while maintaining professionalism and attention to detail.
