Job Description - Chapter Conceirge - Competitive Pay

Note: This is a work-from-home position. However, to be considered, you must live close to Chicago, within a 5-mile radius, and be available to attend this organization’s premier and unique business and social gatherings on a monthly (or sometimes more frequent) basis.

Our client is a famous business organization composed of chief executives of leading household-name firms and organizations (as well as prominent startups) from across the WORLD. In the United States, their membership is well established with firm representation in almost every major city. This position is for the Chicago chapter.

As the Chapter Concierge, you are focused on supporting the chapter to help new members feel welcome and become engaged and integrated by providing curated information in a personalized and thoughtful manner.

Your goal is to deliver new members a full understanding of what their seat in the organization offers, as well as how they can fully participate and get the most from their membership. You will also help to remind chapter members of big events that will occur in Chicago and help to coordinate (as well as attend) those events.

You will:

  • Encourage key members from the chapters to attend events as VIPs throughout the year (and you will be attending these as well).
  • Reach out to the members via call, text, and or email to have them sign up for these events and send out RSVP notices.
  • Update the chapter apps and website periodically.
  • Detail the information of who is coming to the events and send it to your manager.
  • Encourage membership enrollment by making frequent outreach calls to have members sign up for the events.
  • You will attend the events themselves, and on top of participating, you will be responsible for coordinating name tags, and pairings between the guests and hosts, and keeping records of who arrived and is participating.
  • Track new hosts in the system to ensure diversity.
  • Partner with the Membership Engagement Officer to recruit new hosts as needed.
  • Partner with management to welcome new members to the events when they arrive.
  • Provide the list of new members to the Day Chair and Learning Officer so they can be introduced properly.
  • Track the new members via a large Google Spreadsheet and ensure that everyone has been contacted.
  • Other duties as assigned.

Overall, this is a truly unique and genuinely coveted position for an organized, multi-tasking, highly poised, and outgoing individual who loves to network and meet new people. Training will be provided.

Finally, for the first few months that you are working in this position, you will work around 20 hours per week as well as attending events. However, when the busy season ends, you will be working closer to 10 hours per week (again as well as attending events). There could be a possibility of more hours if your performance is highly optimal but there is no guarantee of further hours.

This is what we will be looking for in your candidacy:

  • You have at least 1 year of SOLID administrative experience, preferably in setting appointments.
  • Preferably, you have previous experience in event planning, event coordination, or something similar.
  • You have, at least, an associate degree or higher level of education.
  • You are proficient in Google and Microsoft Business Office Suite (Sheets, Docs, Slides), Salesforce, QuickBooks, and other general software (e-signature, survey software, etc.)
  • You are proficient in the big Social Media platforms, including Facebook, X/Twitter, Instagram, and others.
  • You can manage multiple tasks at once, in an environment that often changes priorities.
  • You have previous experience with senior executives and how they operate, OR for major business organizations like non-profits, or educational organizations.
  • You have strong customer service skills for high-end clientele.
  • You are open to working remotely, and you must have your equipment, which includes a laptop/workstation and cell phone. Our client will reimburse internet and phone usage.
  • You are polished, professional, and articulate. You will be speaking with C-Suite-level executives and their spouses/partners, and you are highly skilled in engaging and treating your audience with dignity and respect.
  • You live in the Chicago area, or at most, 5-6 miles outside of Chicago.
  • You must be available to attend the events yourself. The events will be scheduled in and around Chicago. Our client will reimburse for mileage to/from event venues.
  • You are ALWAYS punctual and will be fully engaged with members throughout the entirety of the event.
  • You have sharp attention to detail, are excellent at remembering names, and details, and are socially comfortable at engaging in relevant conversations across a diverse spectrum of people.
  • You are meticulously organized.
  • You have reliable transportation.
