SUMMARY:

The Chief Administrative Officer is responsible for leading Pine Castle's people strategy while integrating the administrative systems that keep the organization running effectively. The CAO leads Human Resources strategy and operations and works alongside executive leaders to strengthen workforce development, organizational effectiveness, cross-department collaboration, and operational excellence. As a member of Executive Leadership, the CAO partners closely with the C-suite team on strategic initiatives and helps shape systems that support Pine Castle's mission of serving adults with intellectual and developmental disabilities.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as needed.


  • Leads Human Resources strategy and operations.

  • Builds and develops a high-performing workforce.

  • Coaches managers and strengthens leadership throughout the organization.

  • Leads employee relations, performance management, and organizational development.

  • Improves administrative processes.

  • Leads all audit and compliance initiatives.

  • Manages organization contracts.

  • Helps department leaders understand methods and strategies toward high organizational performance.

  • Leads change management initiatives that improve efficiency and accountability.

  • Develops organization-wide training and workforce development programs.

  • Ensures high-performing vendor partnerships.

  • Oversee the maintenance and operation of all organizational facilities and fleet assets, ensuring a safe, orderly, and efficient environment.

  • Oversee facilities and fleet budget and utilizes resources effectively, focusing on cost savings, optimization, and efficiency.

  • Oversees implementation and continuous development of preventative maintenance programs to minimize disruptions and extend the life of organizational assets.

  • Assists with organizational budgeting and financial management.

  • Partners closely with the C-suite team on strategic initiatives.

  • Helps shape organizational strategy while strengthening organizational culture, leadership development, strategic planning, cross-functional collaboration, operational efficiency, workforce engagement, and administrative excellence.


QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Completion of required background screening as required by Florida Statutes (see HB531 | Florida Agency for Health Care Administration for more information).

 

EDUCATION and/or EXPERIENCE:

Bachelor's degree in Human Resources, Business Administration, Organizational Leadership, Healthcare Administration, or a related field.

Ten plus years experience in senior leadership role overseeing administrative functions including workforce management, vendor relations, facilities maintenance, and compliance.  Experience in nonprofit, healthcare, Medicaid-funded, government, or other highly regulated environments.

 

LANGUAGE SKILLS:

Strong written and verbal communication skills necessary to coach managers, collaborate across departments, support executive leadership, and communicate organizational initiatives.

 

MATHEMATICAL SKILLS:

Ability to work with budgets and financial information in support of organizational budgeting and financial management.

 

REASONING ABILITY:

Ability to lead organizational change, improve administrative processes, strengthen accountability, and help department leaders apply methods and strategies toward high organizational performance.

 

OTHER SKILLS and ABILITIES:


  • Strong knowledge of employment law, employee relations, compensation, benefits, workforce planning, and organizational development.

  • Experience leading organizational change and cross-functional initiatives.

  • Ability to develop organization-wide training and workforce development programs.

  • Ability to manage contracts, audit and compliance initiatives, and vendor partnerships.

  • Ability to strengthen leadership, workforce engagement, organizational culture, and administrative excellence.


PHYSICAL DEMANDS:

The physical demands of this position are consistent with an administrative office environment. While performing the duties of this job, the employee is regularly required to sit, use hands, reach with hands and arms, and talk and hear. The employee is occasionally required to stand, walk, stoop, kneel, or crouch.

The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities include close vision, distance vision, depth perception, and the ability to adjust focus.

 

WORK ENVIRONMENT:

The work environment is primarily an administrative office setting. The noise level in the work environment is usually moderate.
