Boulder Engineering Studio is a premier manufacturing automation and product solutions company in Boulder, CO. We are a team of passionate and experienced mechanical, electrical, software engineers and technicians. We build hardware, firmware and software with an iterative test-driven process in a hands-on collaborative environment. Our strategic services programs have a portfolio of active projects ranging from scientific instruments and industrial machinery to medical wearables. We care about providing pragmatic solutions to our customers. Our growing test automation offerings focus on enhancing product production in a holistic fashion with solutions positioned throughout the development and production processes. This includes custom electronics equipment, software tools, mechanical components, and data systems that work together to help our clients improve their products and streamline manufacturing processes.


We are hiring for a high-growth, administrative role that will be involved in all operational parts of the business: HR, office management, sales, and executive admin. This role is intended to support our CEO and leadership team directly.  This may be a part time (20+ hours per week) or full time position based on candidate preference and skills. This position is expected to be in the office more often than not, but hybrid work is anticipated after a training period.

While you may not have extensive experience across all administrative functions, you demonstrate the professional capacity to learn and adapt quickly. You show a genuine interest in working across various business operations simultaneously and have sufficient background to understand the practical support needs of these different areas.


In this role, you will be expected to efficiently adopt new processes as they are introduced and execute them with consistent attention to detail. You maintain organizational discipline throughout your work and use professional feedback as an opportunity to enhance your effectiveness.


About the Responsibilities



  • Supporting company leadership with scheduling, organizing, and other ad hoc administrative needs

  • Organizing documents in Google Drive, on a repository, or even sometimes (rarely) in a filing cabinet

  • Helping setup SaaS tools (Slack, Zoom, GSuite, Harvest, etc) for new hires or new clients and projects 

  • Managing facilities needs and vendor relations (like making sure the trash gets picked up, the coffee and tea never run out, everything runs smoothly)

  • Light inbound phone call support (5 to 10 calls a month)

  • Helping FinOps with receipts and basic financials (using Xero, Harvest, and Slack)

  • Making reports as requested in GSuite and Harvest

  • Supporting marketing campaigns in Hubspot with CRM upkeep, data entry, and content creation

  • Shipping, receiving, and restocking the office as needed

  • Ensuring the space stays clean and professional


 


Required Qualifications
Required Skills/Competencies:



  • Advanced proficiency with MS Office and G Suite applications

  • Strong organizational and time management skills

  • Excellent written and verbal communication abilities

  • Experience with office management and administrative functions

  • Ability to work independently and as part of a team

  • Problem-solving skills and initiative to improve processes

  • Professional demeanor and strong interpersonal skills


Preferred Skills/Competencies:



  • Bookkeeping (we use Xero as our accounting platform)

  • Familiarity with HR and recruiting processes

  • Knowledge of Hubspot or similar CRM systems

  • Previous experience in a technology or engineering environment

  • Background in facilities management


Physical Requirements:



  • Prolonged periods sitting or standing at a desk and working on a computer.


Education and Experience:



  • Bachelor's degree preferred or equivalent combination of education and experience

  • Minimum 1 year of administrative or office management experience

  • Experience in a technology or engineering environment is a plus
