Chief of Staff to Managing Director

You’re a sharp, organized operator who wants to learn how a firm is run by working directly with the person running it. You love turning half-formed ideas into initiatives with owners and milestones, bringing order to a busy leadership agenda, and making sure nothing falls through the cracks. You work with a global team that creates smart, creative, and impactful digital experiences that solve complex challenges.

Modus Digital is an independent company of Advisors & Creators for the world’s leading brands. We define strategies that drive businesses forward and create experiences that people love. We believe digital experiences are human experiences, technology is transformative, and real innovation drives meaningful change. We’re headquartered in New York City with offices throughout the United States, Latin America, Europe, and the Asia Pacific region.

Our Chief of Staff is an integral part of our Operations team reporting into our Managing Director.

Responsibilities

• Partner with the Managing Director to turn leadership priorities into clear, owned strategic initiatives with scope, milestones, and decision points

• Drive those initiatives forward week to week, unblocking owners, escalating early, and bringing the Managing Director a recommendation rather than a question

• Own the leadership operating rhythm: partner meetings, monthly business reviews, quarterly planning, and OKR check-ins, including agendas, pre-reads, decision capture, action items and follow-through

• Maintain a single view of internal projects, their status, owners, and priorities, and help sequence work against capacity and budget

• Run regular portfolio reviews so leadership knows what is on track, at risk, or ready to stop

• Provide general operational support across IT and systems, purchasing, resourcing, and office logistics

• Manage approvals, vendor and software requests, budgets, and renewals on behalf of the Managing Director

• Track action items from leadership meetings

• Draft internal communications, briefings, and decision memos

• Help align teams across the US, the Philippines, and LatAm on policies and ways of working

• Manage the Managing Director’s agenda, inbox, and time: decide what deserves their attention, redirect what a practice lead can handle, and staff them on the things only they can do

• Work collaboratively cross-functionally within Modus, as required

• Other duties and special projects related to the position that arise from time to time

Qualifications

• 3 to 5 years of relevant experience in operations, program or project management, consulting, or a Chief of Staff or executive support role, with a preference for professional services background

• Located in NYC metro area with flexibility to meet onsite 1-2 days/week to collaborate with Managing Director

• A consistent track record of moving cross-functional initiatives from idea to delivery in a fast-paced environment

• Exceptional organizational skills and comfort juggling many workstreams at once

• Ability to drive accountability and influence without direct authority

• Confidentiality and good judgment in sensitive situations; you will hear things that stay in the room, and you will tell the Managing Director things they may not want to hear

• Practical experience handling tactical operational duties for a company, while also driving big-picture initiatives

• Comfort with numbers: you can build a model in a spreadsheet, read a P&L, and explain what a utilization figure means

• Exceptional written and verbal communication skills, comfortable working with senior leaders

• Fluency with modern tools such as Slack, Google Workspace, HubSpot, and project management platforms, plus a keen interest in using AI to work smarter

• Demonstrated passion for operational efficiency and process optimization

• Ability to handle ambiguity and open-ended problems
