Job Description - Child Care Transportation Scheduler

Description

Position Function: 

The Scheduler is responsible for coordinating the daily scheduling of transports, providing comprehensive administrative support, efficient coordination of tasks, and related logistics. This role serves as the primary point of communication between permanency staff, supervisors, and transporters to ensure the efficient and effective use of organizational resources. This role requires exceptional organizational skills, the ability to manage multiple priorities effectively, and the ability to be detail oriented. 

Working Conditions: 

Exposure to confidential information, sitting for long periods of time at computer, receiving and returning phone calls, emails, and texts. Exposure to children with behavior problems, including possible physical aggression. Exposure to illness and bodily fluid.

Maintain confidentiality & follow policies related to personal records & client records.

Policies and Procedures of Agency and Program

  • Complete all documentation as required by program (i.e., incident reports, case notes, , medical documentation, etc.,).
  • Maintain staff to client ratio as determined by the supervisor.
  • Follow DFPS minimum standards.

Deadlines

  • Complete incident reports and case notes within 24-hours. Notify supervisor of serious incidents immediately.
  • Complete and maintain required training hours within time frame outlined in agency procedures.
  • Take clients to appointments on-time.
  • Ensure adequate staffing of schedules.
  • Program Operations 
  • Maintain necessary documentation on fiscal matters. 
  • Attend and participate in shift change meetings and other staffing's as directed by supervisor.
  • Perform any other duties as directed by supervisor.
  • Transport clients to appointments.

      Youth Care and Support

  • Collaborate with family and other support systems to advocate for clients and family.
  • Collaborate with TDFPS and other caseworkers to support client.
  • Collaborate with resources to support client’s individual needs and transition goals.

Requirements

Education Requirements: High School diploma or GED required; A bachelor’s degree in a human service field from an accredited college or university preferred. 

Experience Requirements: A minimum of two years of childcare and positive guidance experience of youth in a CPA, residential or professional setting. Effective communication skills, able to use basic computer tools and navigate digital systems.

Functional Requirements: Coordinate and assign day-to-day transport activities, provide administrative support, monitor and inventory equipment. Schedule placements, family visits, medical appointments, and other related services. Serve as the central communication liaison between internal teams and transport personnel. Utilize software systems to manage schedules and ensure optimal resource allocation. Adjust and update schedules as needed to accommodate changes and emergencies. Maintain accurate records of scheduled activities and transport arrangements. Support supervisors and staff in ensuring timely and efficient service delivery. Must be able to transport children, have reliable transportation with a minimum of liability insurance.
