Job Description - Civil Rights Intake Specialist

SUMMARY 


This role involves serving as a primary point of contact for members of the public submitting civil rights complaints and providing comprehensive administrative and investigative support to Assistant U.S. Attorneys (AUSAs) and staff. The Intake Specialist will manage a high volume of inquiries, ensure accurate recordkeeping, and assist with case management in a fast-paced legal environment. 


 


KEY DUTIES and RESPONSIBILITIES 



  • Receive, log, and track incoming civil rights complaints via phone, email, and in-person inquiries. 



  • Respond to public questions regarding civil rights enforcement and case status. 



  • Schedule and manage intake appointments and case-related events. 



  • Conduct initial interviews of civil rights complainants at the direction of AUSAs or investigators. 



  • Review complaints to determine jurisdiction and request additional information as needed. 



  • Maintain civil rights case files, documents, and databases in accordance with established procedures. 



  • Perform administrative tasks including filing, faxing, scanning, copying, and bates stamping. 



  • Prepare statistical reports, summaries, and written correspondence. 



  • Compose letters and documents requiring knowledge of legal procedures and civil rights terminology. 



  • Perform messenger duties and make local trips as necessary. 



  • Provide front-desk support by receiving visitors and handling incoming calls. 



  • Assemble legal materials such as exhibits and affidavits. 



  • Ensure the confidentiality and security of sensitive information. 


 


EXPERIENCE and/or EDUCATION 



  • High school diploma or GED required. 



  • Prior experience in legal, governmental, or administrative environments preferred. 



  • Experience with complaint intake, case management, or public-facing administrative duties is highly desirable. 



  • Typing proficiency of at least 40 words per minute is required. 


 


KNOWLEDGE, SKILLS and ABILITIES 



  • Strong communication and interpersonal skills, with the ability to interact effectively with the public and legal professionals. 



  • Proficiency in Microsoft Office Suite, email systems, and word processing software. 



  • Ability to multi-task, prioritize work, and meet deadlines in a high-volume environment. 



  • Skilled in operating standard office equipment, including computers, copiers, fax machines, and telephones. 



  • Ability to work independently with minimal supervision and adapt to changing schedules or priorities. 



  • Knowledge of civil rights laws and legal terminology preferred. 



  • Bilingual (English/Spanish or other) preferred but not required. 



  • Attention to detail, organizational skills, and discretion in handling confidential information.
