Job Description - Clerical Associate

Job Description

Note: This position is open only to City of New York employees serving in the permanent civil service title of Clerical Associate.

The Fire Department of the City of New York (FDNY) is the largest Fire Department in the United States and universally is recognized as the world's busiest and most highly skilled emergency response agency. The Department's main goal is to provide fire protection, emergency medical care, and other critical public safety services to residents and visitors in the five boroughs. FDNY members are sworn to serve and protect life and property and the Department works to continually educate the public in fire, life safety and disaster preparedness, along with enforcing public safety codes. Since its inception in 1865, FDNY has helped lead efforts to make New York the safest big city in the nation. This accomplishment requires a steadfast and daily commitment to maintaining the Department's core values.

The Fire Department, City of New York (FDNY), seeks a full-time Clerical Associate Level IV in the Bureau of Legal Affairs. Reporting directly to the Administrative Manager, the successful candidate will: receive and process Criminal Court Summonses and FDNY Summonses. Data enter Criminal Court Summonses and FDNY Summonses into Accela and OATH’s AIMS System respectively. Sort Criminal Summonses and FDNY Summonses by borough and date and produce a court calendar. Return completed cases to issuing units and update and maintain filing system for cases not completed. Scan and batch Criminal and FDNY Summonses for tracking. Distribute Criminal Court Summonses and FDNY Summonses to all units within the Fire Department and maintain a record of all assigned numbers. Additional assignments as requested. Receive and review documents submitted via mail and email for cure/correction of FDNY Summonses. Update status of account in the AIM System (OATH) to reflect current status of account. When necessary, issue a letter of disapproval containing explanation of what is needed and if a court appearance will be required. Partial cure will be given upon request and a copy of these letters are sent to the court on a weekly basis. Respond to inquiries from the Fire Department personnel and the public regarding clarification and/or advice regarding the cure/correction of FDNY Summonses.

Qualifications

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
