Reports to:                                              Clerk of District Court

Rate of Pay:                                             $17.78/hour


Position Schedule:                               Mon – Fri 8am – 5pm

Job Summary:


Entry-level position.  The office of the Clerk of District Court is a constitutional office that is responsible for maintaining County records regarding but not limited to Adoption, Civil, Criminal, Dependent and Neglect, Domestic Relations, Guardianship, Juvenile, Paternity, Probate and Sanity cases.


Under close supervision, deputy is trained to process applicable legal forms and documents; collect, distribute, and balance fees and deposits of funds; and learn the necessary and appropriate legal terminology and procedures in support of one or more of the assigned operational functions of the Court.  This position performs a wide variety of moderately difficult clerical work necessitating the ability to choose from a limited number of alternatives in solving routine problems.  As tasks are learned, direct supervision decreases and the clerk is expected to perform at the top of the entry level, eventually rotating through and demonstrating proficiency in a variety of assignments.

Duties/Responsibilities:



  • Assist clients at front counter (Priority One)

  • Answer incoming calls in a courteous and professional manner

  • Process passport, marriage applications/licenses

  • Sort and disburse Judicial Bldg. and inner office mail according to Departments

  • Exactly reports research information to agencies - maintaining confidentiality

  • Process and scan filings and documents, route them to proper files/person

  • Accurately categorize case files in proper order

  • Keep counter stocked, clean, and ready for use

  • Unlock doors and prepare lobby for business

  • Set up computers and check printers for proper supplies

  • Continue cross-training to advance within the office structure

  • Open new cases under the proper categories

  • Track and prepare list for Parenting Plan Orientation sign up

  • Schedule events such as hearings, trials, jurors and maintains the court calendar

  • Issue summons and subpoenas

  • Process Orders of Protection and distribute to Law Enforcement Agencies

  • Maintains caseload records according to office standards

  • Charges appropriate fees for court services and prepares receipts for fees received

  • Administers oaths

  • Operates the Full Court Case Management System, Full Court Jury Program, and Vital Statistics Bureau Marriage License Program

  • Assists in preparing the master list of potential jurors for each calendar year

  • Prepares jury summons/certificates and issues warrants paying per diem and mileage to jurors and witnesses


 


Required Skills/Abilities:



  • Proficient with Microsoft Office Suite or related software.

  • Basic accounting practices, office procedures and practices

  • Excellent verbal and written communication skills.

  • Basic accounting skills, money-handling experience.

  • Excellent interpersonal and customer service skills.

  • Ability and willingness to accept varied work assignments.

  • Ability to maintain confidential sensitive information.

  • Ability to function well in a high-paced and at times stressful environment.

  • Ability to establish and maintain an effective working relationship with fellow employees, supervisors and the public.

  • Ability to provide legal information to plaintiffs and defendants through the District Court process without providing legal advice.


Required Education and Experience:



  • High School Diploma or GED equivalent

  • Secretarial or professional office


Preferred Education and Experience:



  • Legal experience helpful but not mandatory


Work Environment:



  • Office Setting

  • Exposure to evidence and testimony that may be disturbing such as photographs of murder scenes and victims; evidence that may include syringes, drugs, weapons and blood

  • Ability to professionally endure defendants, witnesses, counsel, and public who may potentially be verbally or physically abusive

  • Ability to bear allergens such as perfumes, dust, and unpleasant odors such as unwashed clothing, chemicals offered into evidence and unwashed people.


Physical Requirements:



  • Ability to sit or stand for extended periods of time

  • Lift boxes of stored documents weighing up to 30 pounds
