Job Description - Client Experience Ambassador ( Receptionist)

JOB SUMMARY: The Client Experience Ambassador will act as receptionist for the office. As the first contact with our clients, this person is the “face” of the office and is responsible for providing a confidential and welcoming environment. We want every client to have a great personalized experience when arriving. This is a fast-paced environment, the ideal candidate will be able to prioritize, work on and complete multiple tasks within a deadline. 

CLIENT EXPERIENCE: 

  • Greet visitors and clients in a welcoming and professional manner; offer high-quality service at all times 
  • Execute the company’s unique client service experience, setting us apart from others 
  • Actively manage the team reception, service desks, and meeting rooms 
  • Manage the Client Meetings calendar proactively. Be aware of meetings happening daily, avoid meeting conflicts & conference room scheduling issues 
  • Manage the main screen in the lobby to greet clients, vendors, and celebrate birthdays and/or colleague anniversaries  
  • Answer main line calls (~20 calls daily), locate client in CRM database, transfer to appropriate colleague 
  • Monitor & maintain stock and supplies; including snacks and beverages 

COLLEAGUE EXPERIENCE:  

  • Coordinate company delivery of 3 lunches per week 
  • Prepare café for lunches & coordinate clean up after 
  • Wufoo colleague survey creations 
  • FedEx Supplies 
  • Printer service tickets  
  • Printer toner & waste drum ordering 
  • Periodic mailings/projects 

BUILDING & GROUNDS MANAGEMENT: 

  • Opening & closing of the building on a daily basis 
  • Unlock/lock doors 
  • Make coffee/clean coffee pots (Both Cafés)  
  • Unload clean dishwasher/load dirty dishes 
  • Check exterior lock box 
  • Turn on lobby screens and waiting area TV 
  • Stock snacks 
  • Check conference rooms for supplies 
  • Maintain appearance & cleanliness of office 
  • Windows/doors/glass in lobby 
  • Lobby floors 
  • Plants & décor  
  • Carpet cleaning 
  • Main & Second Floor Café 
  • Fridges weekly 
  • Drink gun/fountain dispenser weekly 
  • Partner with the Chief of Staff to manage vendor communication & relationships; schedule/contact vendors for appointments as needs arise
