Job Description - Client Service Associate (Mailroom & Office Services)

Job Title: Client Services Associate


Reports To: The Client Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.


Typical Work Schedule: Mondays to Fridays; 8:00AM - 5:00PM

As a Client Services Associate, you’ll be the go-to person for all things mail, print, and office support—keeping operations running smoothly while creating a standout experience for every client and colleague you interact with.


This isn’t just a support role—it’s a frontline customer experience position where professionalism, reliability, and attention to detail make all the difference.

You are the engine behind daily office operations—ensuring everything from critical deliveries to meeting setups runs without a hitch. Your work directly impacts efficiency, professionalism, and the overall client experience.


What You Will Do



  • Deliver exceptional, polished customer service in every interaction

  • Manage incoming/outgoing mail and packages with accuracy and accountability

  • Handle shipping, receiving, tracking, and chain-of-custody documentation

  • Keep office services running smoothly—mail center, print services, and supplies

  • Maintain and troubleshoot multi-function devices (copiers/printers)

  • Monitor inventory: toner, paper, pantry supplies, and more

  • Support meeting room setups and occasional office moves

  • Keep workspaces clean, organized, and professional

  • Collaborate across teams and serve as a trusted point of contact

  • Step in wherever needed—because flexibility is key


What You Have



  • Strong communicator with a customer-first mindset

  • Organized, detail-oriented, and able to juggle multiple tasks

  • Comfortable with computers, MS Office, and data entry

  • Problem-solver who stays calm under pressure

  • Team player who can also work independently

  • Professional, dependable, and discreet with sensitive information


Qualifications



  • High School Diploma (or equivalent) required

  • Valid driver’s license with a clean record (driving may be required)

  • Willingness to undergo background check and fingerprinting

  • Ability to adapt to systems and tools used in daily operations

  • Strong time management and organizational skills


Physical Requirements



  • Ability to lift/move packages (40–60 lbs)

  • Comfortable standing, walking, bending, and lifting throughout the day

  • Manual dexterity for handling office equipment


Travel: None or Negligible
