Client Service Specialist

About the Opportunity
Heartfire, an Ameriprise Private Wealth Advisory Practice, is seeking a highly organized, detail-oriented, and proactive Client Service Specialist to join our growing wealth management practice in Dunedin, Florida.
This is an important role within our team and is ideal for someone who understands the financial services industry, takes tremendous pride in getting the details right, and enjoys being the person others can rely on to make sure things get done correctly and efficiently.
What You'll Do
- Process client account and operational requests accurately and efficiently
- Handle money movements, trades, account transfers, new account paperwork, and other business processing activities
- Gather and review information needed to complete client requests and transactions
- Proactively identify missing information and communicate with clients regarding what is needed
- Assist with meeting preparation and review client information prior to meetings
- Review reports, CRM information, and account details to identify items requiring additional research or follow-up
- Help ensure client requests and internal tasks are completed accurately and on time
- Maintain accurate and thorough CRM documentation
- Utilize technology, automation, AI tools, and reporting capabilities to improve efficiency
- Use Excel and other technology to organize, filter, manipulate, and analyze information
- Work collaboratively with advisors and other team members to provide a high level of client service
- Identify opportunities to improve processes and enhance the client experience
- Take ownership of assigned responsibilities and follow tasks through to completion
- Support other operational and client service needs as the practice continues to grow
What We're Looking For
- 2+ years of experience in financial services or wealth management preferred
- Experience in an investment advisory, financial planning, wealth management, or similar environment strongly preferred
- Demonstrated ability to work independently, take ownership of responsibilities, and consistently deliver accurate, high-quality work
- Strong judgment, initiative, and problem-solving skills, with the ability to anticipate needs and identify opportunities to support the practice
- Strong follow-through and accountability, with the ability to manage priorities and ensure tasks are completed accurately and on time without constant oversight
- Ameriprise experience is a plus
- Working knowledge of financial services terminology and common account types, transactions, and processes
- Ability to understand concepts such as IRAs, qualified accounts, RMDs, QCDs, and other common wealth management activities
- Licensing is not required, but applicable securities or insurance licenses are a plus for candidates who understand and are comfortable with the scope of the role.
- Strong attention to detail with a commitment to accuracy
- Excellent organizational and time-management skills
- Ability to work independently and take ownership of responsibilities
- Strong written and verbal communication skills
- Professional and confident when interacting with clients and colleagues
- Comfortable learning and utilizing new technology
- Experience with Salesforce or another CRM is preferred
- Strong Excel and reporting skills are preferred
- Ability to use AI and technology as productivity tools while applying sound judgment and independently validating information
- Bachelor's degree preferred, but not required
- Securities or insurance licensing is not required for this position
