Job Description - Client Services Administrator

Job Summary: Action Plumbing, Heating, A/C, & Electrical is seeking
a Client Services Administrator to join our team. This role will be the primary point of contact for customers and plays a pivotal role in supporting daily operations of our plumbing, HVAC, and electrical service teams. This position supports customer communication, scheduling, invoicing support, and administrative coordination to ensure a smooth, professional experience for both clients and field technicians.


Key Responsibilities:



  • Assist with walk in traffic, including but not limited to customers, clients, job interviews, new hires, and ensure a welcoming environment.

  • Answer incoming calls, emails, and online service requests promptly and professionally.

  • Schedule service appointments for plumbing, HVAC, and electrical technicians.

  • Confirm appointments, provide arrival windows, and communicate delays or changes.

  • Handle customer inquiries, concerns, and basic troubleshooting questions.

  • Maintain accurate customer records, service histories, and documentation.

  • Assist with warranty processing and service agreements, as needed.

  • Assist with customer payments and collections, as needed.

  • Call customers to obtain feedback and cross-sell services across departments.

  • Provide administrative task support, as needed.


Qualifications & Skills:



  • High school diploma or equivalent

  • 2-4 years of experience in customer service or administrative support.

  • Strong customer service skills.

  • Strong phone etiquette and written communication skills.

  • Ability to multitask and remain calm in a fast-paced environment.

  • Experience in home services, trades, or construction-related company, preferred.

  • Familiarity with ServiceFactor, preferred.


Work Conditions/Requirements:



  • This is a fully onsite role, between the hours of 8:00 AM to 5:00 PM with a 1-hour lunch break and no remote availability.

  • Ability to sit for long periods of time, up to 8 hours a day, with prolonged periods of phone and computer use.

  • Ability to occasionally lift up to 25 pounds.
