The Client Services Coordinator is the first point of contact for patients and families at our Hagerstown clinic. This role is essential in ensuring smooth daily operations and providing exceptional customer service to our clients. The Coordinator manages appointment scheduling, answers inquiries, supports clinic staff, and helps maintain an organized and welcoming environment.
The ideal candidate is detail-oriented, friendly, professional, and thrives in a fast-paced setting.
Serve as the first point of contact for client inquiries in person, by phone, and email.
Schedule appointments for patients and therapists based on requested services.
Provide information about PMC’s programs, including KidMotion and Wellness offerings.
Collect patient co-pays and account payments.
Ensure lobby and office areas are clean, organized, and inviting at all times.
Maintain accurate patient records and update account information.
Fax, scan, and file patient documents.
Enter patient notes into medical records system.
Monitor office and medical supplies, ensuring inventory is stocked.
Work closely with the Client Services Manager to analyze OMS data and track clinic performance metrics.
Participate in weekly goal-setting and progress reviews with the Client Services Manager.
High school diploma or equivalent required.
1+ year of customer service experience (medical office preferred).
Familiarity with medical terminology is a plus.
Strong computer skills and ability to learn new systems quickly.
Excellent verbal and written communication skills.
Organized, self-motivated, and able to manage a busy workload with accuracy.
Positive, team-oriented attitude.
Job Type: Full-time (up to 40 hours/week)
Schedule: To be determined upon hire (may include evening or occasional weekend coverage).
