Job Description - Clinic Coordinator (.5 -.8 FTE)

Purpose

Provide general administrative and clerical assistance and support for the clinic. Greet, register, check-in and schedule patient appointments. Provide Neighborcare information to patients. Work in partnership and joint accountability with other team members to achieve Neighborcare's Mission, Guiding Principles and goals.

Our Homeless & Housing Program Clinics serve people living homeless, and also those at risk of homelessness, in small care teams focused on a trauma-informed approach to medical and behavioral health care. The clinic coordinator is a vital part of the care team, and is the first point of contact for our patients at the front desk. Duties also include some care coordination, working with the rest of the team to help patients overcome barriers to care. Our care teams are passionate about meeting patients where they are, and helping them to feel welcome, respected and cared for in their healthcare home.

In this position you will:

Prepare clinic to open and close for business in a timely manner, in accordance with the clinic's posted schedule. Check in patients and create charts: gather and update patient information
Answer telephones, schedule patient appointments, confirm appointments and transfer calls to appropriate staff member. Assist provider teams with paperwork, copying, faxing, etc.
Manage inventory of office supplies, including the ordering, receiving and stocking of supplies. Monitor referrals and communicate with referral team
Using EMR, send tasks and communications to provider team members. Coordinate with interpretation services as needed. Assist with special projects as directed by Clinic Administrator and Patient Services Supervisor

Other job functions:

Participate in trainings relative to front desk processes and procedures. Assist in the processing and follow up of government sponsored insurance applications. Assist in primary care provider assignments
Perform periodic clerical administrative duties, including invoice processing and data input. May provide supervision of or training from students who are assigned to Neighborcare Health as part of their professional education, and/or volunteers and new-hires
Attend meetings as directed by supervisor. Work out in the community during outreach events. Perform other job functions as they arise.

Skills, Knowledge &

Abilities

Knowledge of and skill in the use of personal computers with the ability to learn and use company software programs. Ability to develop meaningful and appropriate relationships with patients
Ability to meet and comply with HIPPA/Confidentiality policies and procedures. Ability to be detail oriented and multi-task. Ability to work effectively with staff members and patients
Ability to organize and problem solve. Ability to effectively perform job duties under high levels of activity, variety of conditions and restraints. Ability to prioritize and follow through with front office tasks
Ability to follow written and verbal directions and to complete assigned tasks as scheduled
Ability to be empathetic towards patients. Ability to demonstrate excellent verbal communication skills and customer service. Ability to remain calm and professional when faced with difficult situations and emergencies
Ability to perform de-escalation tactics, and open to learning more. Ability to interact well with ethnically diverse populations. Ability to read, write and communicate in English and understand basic math. Ability to demonstrate predictable, reliable and timely attendance. Ability to type (minimum of 30wpm)

Required Qualifications

High school diploma or equivalent
One (1) year of experience with customer service

Preferred Qualifications

One (1) year of experience in a healthcare setting

Compensation

The hourly range for this position is a minimum $19.44/hour up to $26.97/hour maximum.

Compensation will be determined based on years of relevant experience.
