Position Summary:
Responsible for Clinic Supply Coordination, Inventory Management, Payroll and Staff Scheduling. Maintains confidential files, recruitment of staff, and training of new staff, facilitates and communicates with Director of Clinical Operations on day-to-day operations and projects.
Position Responsibilities/Standards:
General
  • Attend department, clinic or company meetings as required
  • Demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns
  • Consistently work in a positive and cooperative manner with fellow staff members
  • Accountability for actions including communication of issues with appropriate management including, but not limited to human resources, accounting and Director of Clinical Operations
  • Consistently demonstrate ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary.
  • Attend required annual in-service programs.
  • Demonstrate knowledge and understanding of all company policies and procedures.
  • Adheres to established facility safety requirements and procedures to ensure a safe working environment. Identifies potentially unsafe situations and notifies supervisor.
Specific Duties
  • Handles the daily deposit
  • Develop and maintain departmental schedules.
  • Initiate recruitment of staff.
  • Assist with evaluation, development and implementation of office procedures.
  • Interface with staff, physicians, management and vendors.
  • Develop and maintain an inventory management process.
  • Perform initial candidate interviews
  • Maintain confidential files
  • Oversight of New Hire department Orientation and training
  • Monitor and track clinic staff attendance and PTO
  • Assist with incoming call volume as needed and handle difficult caller issues
  • Serve as point person to staff when a high level of expertise is required.
  • Coordinates work schedule with operations manager to assure management coverage during clinic hours.
  • Compile PTO requests
  • Manages bi-weekly payroll
  • Personally conducts annual audit and reports findings and trends to Manager with recommendations and action plans for HIPPA compliance
  • Facilitate OSHA regulations and safety issues within location
  • Process weekly supply orders received for clinic site(s). Match up delivery receipts and invoices, code as necessary, approve, and forward to accounts payable for processing.
  • Facilitates planning, in conjunction with Director of Clinical Operations.
  • Utilizes appropriate Chain of Command
Supervising responsibility:
Responsible for making recommendations and/or decisions for hiring, corrective
actions, terminations and performance evaluations.
Education/Experience Required:
  • Certified medical assistant preferred
  • Supervisory experience preferred
  • High school graduate or equivalent
Physical Requirements:
Physical requirements for the position include the ability to frequently hear and communicate orally, see up close and at a distance, read and comprehend, stand, sit, walk, reach, handle, and/or feel objects. Must be able to climb, pull, push and kneel. Maximum unassisted lift = 25 lbs.
