SOAR365 is seeking a full-time or part-time Clinical Office Administrator to serve as a vital member of our Pediatric Therapy team. In this role, you will provide essential administrative and customer service support that helps ensure children receive timely, effective therapy services. From maintaining client records and coordinating documentation to assisting families, therapists, physicians, and community partners, you will play a key role in creating a seamless experience for those we serve. Key Responsibilities & Duties



  • Maintain client electronic health records, including opening and closing charts.

  • Collect and manage medical, developmental, social history, and plan of care documentation.

  • Obtain and track consent forms, physician orders, certifications, and other clinical documentation.

  • Verify insurance eligibility and authorizations.

  • Provide exceptional customer service to families, therapists, and stakeholders.

  • Upload and maintain documentation in TRAC-IT and other required systems.

  • Support office operations including scanning, filing, mailing, faxing, and record management.

  • Maintain compliance with HIPAA and SOAR365 policies.

  • Participate in training, meetings, and team initiatives.


Requirements & Qualifications



  • High School diploma or GED required; related education preferred.

  • Experience in healthcare, therapy, pediatric, or clinical office settings preferred.

  • Strong written and verbal communication skills.

  • Excellent customer service and organizational abilities.

  • Proficiency with Microsoft Office and standard office equipment.

  • Knowledge of Early Intervention Services, infant/toddler development, or Part C programming preferred.


Hours & Schedule


Employment Type: Full-Time or Part-Time


We are currently recruiting for a full-time Clinical Office Administrator; however, qualified applicants interested in part-time employment are also encouraged to apply.

Typical schedule: Monday–Friday, standard business hours. Full-time and part-time schedules are available and will be discussed during the interview process based on departmental needs and candidate availability. This position is on-site.
