General Summary of Duties: The Clinical Records Scanning & Indexing Technician operates electronic health record indexes and storage and retrieval systems to collect, scan, classify, and store information according to regulatory standards and requirements.
Supervisory Responsibilities: None
Major Responsibilities/Tasks:
- Utilize and monitor record storage systems to collect, scan, classify, store, and retrieve information. Process edit/delete requests and identify then correct or report errors within those systems. Receive and data enter treatment authorizations.
- Ensure that authorization forms are complete and contain mandated elements according to applicable regulations. Scan and index subpoenas, court orders, and other legal paperwork within necessary and regulatory timeframes.
- Maintain a high level of proficiency and thorough working knowledge of the electronic medical record and other software platforms utilized by KMHS, incorporating system updates and changes, in order to complete Clinical Record’s and agency required paperwork, correspondence, reports, data entry, and database management in an appropriate, clear, accurate and timely fashion.
- Work with other members of the Clinical Records team to prioritize work flow and complete tasks with professionalism, accuracy and efficiency, while safeguarding confidentiality and meeting regulatory standards for correctness and timeliness.
- Stay appraised of updates and changes to the indexing schema as it relates to the duties of the job and adjust procedures accordingly, as directed by the Clinical Records Supervisor.
- Complete agency required trainings, meet written performance expectations and follow up on goals. Participate in team meetings and contribute to a positive, solution-focused team environment.
- May be required to regularly drive to main Almira campus to transport mail.

Minimum Qualifications:
EDUCATION: High School Diploma or GED
EXPERIENCE: Entry level (minimum 1 years of job-related experience)
Preferred Qualifications:
EXPERIENCE: Experienced (minimum 2 years of job-related experience)
Experience with data entry processing.
Performance Requirements:
KNOWLEDGE:
- High level of proficiency with computers and ability to work with electronic medical records, various software programs and databases, and enter data with speed and accuracy.
SKILLS:
- Skill in establishing and maintaining effective working relationships with other employees.
- Strong organizational skills are required to prioritize a variety of work assignments.
- Communication ‑ Communicates clearly and concisely.
ABILITIES:
- Detail oriented with the ability, to organize, manage multiple tasks, and complete work accurately within specified timeframes either independently, or with the team.
- The ability to operate a personal computer, fax machine, printer, scanner and copier proficiently.
Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, scanners, telephones, etc.
Work Environment: Frequent mobility and/or sitting required for extended periods.
Mental/Physical Requirements: While performing the job duties, the employee must walk, sit, use hands and fingers, reach with arms, talk, or listen. Peripheral vision is also required for this position.
