Clinical Support Assistant

The Clinical Support Assistant plays a vital role in supporting the Clinical Director and care team by handling routine administrative duties that ensure smooth clinical operations workflow.

RESPONSIBILITIES

• Assist in preparing materials and coordinating logistics for internal audits, staff training, and clinical meetings


• Support scheduling tasks such as arranging supervision appointments, maintaining calendar invites, and issuing deadline reminders to staff


• Draft standard communications, reminders, and document templates under the direction of the Clinical Director


• Organize, label, and securely file electronic and physical records in compliance with HIPAA and internal documentation protocols


• Take notes during meetings and assist with tracking follow-up tasks and action items as assigned


• Assist with intake-related follow-up communication to support timely onboarding of new clients or to gather updated intake documentation from current clients


• Maintain strict confidentiality and uphold professional boundaries in all interactions with staff, clients, and external partners


• Perform all responsibilities in a manner aligned with the organization’s Mission, Values, Patient Care Philosophy, and Standards of Ethical Conduct


• Other duties as assigned

REQUIREMENTS

• High school diploma or equivalent required; associate’s degree in healthcare administration, human services, or a related field preferred


• Strong communication and interpersonal skills with a professional and friendly demeanor


• Organized, detail-oriented, and dependable with effective time management skills


• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with digital recordkeeping


• Ability to adapt to a fast-paced environment and prioritize tasks efficiently


• Willingness to learn compliance and healthcare documentation standards


• Understanding of HIPAA regulations and the ability to maintain confidentiality and uphold ethical conduct
