Commercial Furniture Order Coordinator (Remote)


About the Role


We are seeking an experienced Commercial Furniture Order Coordinator to support accurate, detail-driven order management for commercial interiors projects. This role is ideal for professionals with hands-on experience working with dealers, manufacturers, or A&D teams who are comfortable managing projects from approved specifications through clean, complete order placement and acknowledgment.


This position is focused on order administration, systems, and process execution, not design or sales. You will primarily use ProjectSpec and/or Khameleon, with additional value placed on experience using ProjectMatrix, CET, Hedberg, CORE, Acumatica, or similar commercial interiors systems.


The ideal candidate thrives on precision—specifications, finishes, SKUs, pricing, acknowledgments, and change management—and enjoys being a dependable point of coordination for designers, project managers, and internal teams.


Key Responsibilities


Order Management & Entry



  • Convert approved quotes and specifications into accurate customer orders and purchase orders

  • Enter and process orders using ProjectSpec and/or Khameleon as primary tools

  • Verify product specifications, finishes, SKUs, COM/COL requirements, pricing, and discounts prior to submission

  • Ensure timely PO placement and track orders from submission through acknowledgment and shipment


Specification & Project Documentation



  • Interpret and work from specifications created in ProjectSpec, ProjectMatrix, CET, or similar systems

  • Maintain organized project documentation, including POs, acknowledgments, submittals, approvals, and change orders

  • Update internal systems (Khameleon, CORE, Acumatica, etc.) with order data, shipping details, and revisions

  • Support designers and project managers by reviewing line items for completeness and accuracy prior to ordering


Vendor & Dealer Coordination



  • Communicate with manufacturers, reps, and vendors regarding pricing, availability, lead times, and shipping

  • Resolve discrepancies between purchase orders and acknowledgments, including pricing, quantities, finishes, and model numbers

  • Provide clear, timely order status updates to internal teams

  • Track orders through the full lifecycle: quote → PO → acknowledgment → shipping → delivery


Quality Control & Issue Resolution



  • Identify and correct errors in pricing, specifications, finishes, quantities, and COM/COL details

  • Proactively flag missing information or risks that may impact lead times, accuracy, or installation

  • Maintain accurate order and shipping data across all systems and project documentation

  • Assist with resolving damages, backorders, returns, and re-orders in collaboration with vendors and internal teams


Qualifications


Experience



  • 2–5 years of experience in commercial interiors, including dealer, manufacturer, A&D support, project coordination, or order management


Technical Skills (Must Have)



  • Hands-on experience using ProjectSpec and/or Khameleon for commercial furniture order building and processing

  • Experience with at least one related platform such as ProjectMatrix, CET, Hedberg, CORE, Acumatica, or similar systems


Industry Knowledge



  • Strong understanding of commercial furniture products, SKUs, finishes, COM/COL, and dealer/manufacturer order workflows

  • Experience with budget quotes, pricing validation, margin awareness, and order acknowledgments


Communication & Coordination



  • Clear, professional communication with vendors, designers, reps, and project managers

  • Ability to manage multiple orders and projects simultaneously in a fast-paced environment


Organizational Skills



  • Exceptional attention to detail and accuracy in data entry and documentation

  • Strong organizational skills with the ability to keep multiple orders and timelines aligned


Nice to Have



  • Experience with SAP, CORE, Acumatica, or other ERP/order management systems

  • Familiarity with major commercial furniture brands such as Herman Miller, Haworth, Steelcase, Teknion, Knoll, Allsteel, HON, and similar
