Position Overview
The Property Manager operates in a large and fast-growing multi-unit QSR company and oversees a team responsible for managing the administrative functions for the company’s real estate portfolio. The Property Manager is responsible for lease administration, ensuring that the high volume of agreements, contracts, amendments, and other key real estate records are abstracted in the company’s system of record and that statuses are updated timely and accurately. The Property Manager is also responsible for all property management support, providing guidance on appropriate uses for our sites and common areas, and monitoring related CAM charges. Additional responsibilities include tracking and managing correspondence, requests, and complaints from landlords, co-tenants, and local jurisdictions, and coordinating resolutions to preserve the company’s intended use of a property.
Key Responsibilities
Onboard and abstract agreements and contracts for new properties, and changes to existing ones. Coordinate all rent commencement activities and work closely with Accounting to initiate rent and CAM payments, and process changes as they occur.
Timely process and accurately record all changes to contracts and agreements into the lease management platform.
Monitor lease renewal Option Notice Dates and other trigger dates for action on contracts and elevate concerns to senior management prior to key dates elapsing.
Monitor capital investment planning strategy and assist with obtaining landlord approvals for planned capital investments. Work with Facilities to ensure that they reflect the company’s financial health and lease control guidelines.
Administrate lease management platform, ensuring accurate data and support for benchmarking. Recommend changes in process, configuration, or data storage strategy to facilitate effective use of the system
Provide guidance to Operations and other stakeholders on appropriate uses for our properties and common areas, especially as it relates to where cars can stack if we overflow our drive through.
Be the first point of contact for landlords, property managers, co-tenants, city jurisdictions and internal stakeholders for all matters related to leases and uses. Foster internal partnerships to promote timely and effective resolution, and to preserve an amicable and supportive relationship with all external stakeholders.
Manage co-tenant, city and jurisdictional relationships that have authority over the use of our properties and facilitate resolution wherever our use is threatened.
Manage and maintain centralized and shared logs for all significant communications and activities with key internal stakeholders, and landlords, property managers, jurisdictional entities, and co-tenants. Elevate attention to those that threaten our use.
Provide regular trend reporting on site management items of note and inform the company on patterns that merit attention.
Monitor contractual obligations and facilitate payment of funds between Dutch Bros and Landlord/Developer such as TIA or reimbursements to developer.
Monitor developer performance incentives in leases, and partner with Real Estate, Construction, Legal and other functional groups to take appropriate actions when penalties are triggered, such as free or abated rent
Receive and process estoppels and other requests with contractual implications.
Provide guidance to Facilities on contract provisions related to improvements, renovations and emergency projects, and obtain or negotiate approvals.
Foster partnerships with Real Estate, Construction, Facilities, Accounting and Finance to reconcile real estate and related transactions against contractual obligations
Manage mini-storage leasing and renewal program.
Manage highway signage program and other license agreements, ensuring timely execution and renewals.
Assist with insurance or landlord requests for documentation, COIs, and payments or reimbursements due to property damage.
Monitor Franchisee Agreement compliance leases and renewals, and drive resolution for non-compliance.
Lead searches for ancillary real estate including warehouses, remote parking, or other atypical uses
Job Qualifications
Bachelor’s degree, or 4 years of comparable experience required.
5 additional years of experience in a related field required.
Experience with Lucernex preferred, or at minimum, strong knowledge and experience with managing lease administration platforms.
Demonstrated experience interpreting a variety of leases and their provisions, and an excellent understanding of general lease negotiations and administration best practices.
Demonstrated leader, with excellent collaborative and communication skills.
Excellent attention to detail
MS Office proficiency, including good working knowledge of Excel.

$102,528.70
