Commercial Sales Associate

Position Summary

The Commercial Sales Associate drives new business growth for Poolie's commercial pool service division. This role identifies and pursues prospective commercial accounts (HOAs, apartment and condo communities, hotels, schools, municipalities, and other multi-pool properties), leads the sales process from initial contact through signed agreement, and ensures each new account is set up accurately and handed off smoothly to the local branch team. The Commercial Sales Associate works closely with the Commercial Manager, Service Managers, Repair Managers, Accounting, and General Managers to uphold Poolie's standards for account onboarding, billing accuracy, and customer experience.

Key Responsibilities

Business Development & Sales

• Prospecting: Identify and qualify prospective commercial pool accounts within the assigned territory and build a consistent sales pipeline.
• Site Walkthroughs: Conduct initial on-site walkthroughs with potential clients to assess pool specifications, equipment, and service needs.
• Proposals & Closing: Prepare and present service proposals, negotiate terms, and close new commercial accounts.
• Pipeline Reporting: Track prospecting activity, proposal status, and closed business in HubSpot; report pipeline progress to the Commercial Manager.

Sales & Account Set-Up

• Contact & Contract Details: Collect complete owner and property manager contact information (phone and email) for every new account during the initial walkthrough.
• Billing Terms: Identify and establish payment terms with the client, defaulting to Net 30; route any requests for longer terms to the billing department for approval.
• Tax Documentation: Verify tax-exempt status where applicable and forward supporting documentation to [email protected].
• System Entry: Accurately enter all new account details into HubSpot and Pool Brain at the time of close.
• Insurance & Vendor Setup: Verify that customer vendor setup has been completed and that an approved Certificate of Insurance (COI) has been sent to the customer before any work begins.

Onboarding Handoff

• Internal Notification: Upon closing a new account, notify the Service Manager and General Manager via Slack in the designated managers channel, including account details and a recommended action plan.
• Transition Ownership: Recognize that the branch (SM/GM) assumes account ownership alongside the Commercial Sales Associate from Day 1, with full operational responsibility transferring to the branch after 30–45 days.
• Transition Support: Remain the point of contact and continuity resource during the first 30–45 days of onboarding, helping ensure a smooth handoff of day-to-day servicing to the local branch.
• Weekly Review Participation: Participate in weekly commercial pool review calls with the branch during the onboarding period to cover chemical management, repairs, and account performance.
• Cross-Functional Coordination: Partner with Service Managers, General Managers, and Repair Coordinators to align on route capacity, service specifications, and account expectations before and after close.

Customer Relationship Management

• Professional Representation: Serve as a knowledgeable, responsive point of contact throughout the sales cycle, representing Poolie's brand and service standards.
• Ongoing Support: Remain available to assist with client questions during the onboarding period and escalate complex situations to the Commercial Manager as needed.

• Prior sales or business development experience required; B2B, facilities services, or property management sales experience preferred.
• Strong communication, negotiation, and relationship-building skills, with the ability to present confidently to property owners and managers.
• Comfortable conducting on-site assessments at commercial properties (pool decks, mechanical/equipment rooms).
• Experience with CRM and service management software (e.g., HubSpot, Pool Brain) preferred, or a demonstrated ability to learn new systems quickly.
• Highly organized and detail-oriented, with strong follow-through on documentation, billing setup, and compliance requirements (tax-exempt forms, COIs).
• Ability to work collaboratively across departments, including branch management, service, repair, and billing teams.
• Valid driver's license and reliable transportation for prospect and client site visits.
• Pool industry knowledge is a plus but not required; training on service standards and systems will be provided.
