POSITION SUMMARY:   

The Pennsylvania Medical Society seeks a motivated and detail-oriented Communications Coordinator to join our dynamic Communications team. The Coordinator of Communications will play a vital role in supporting the planning, execution, and monitoring of internal and external communication initiatives. The ideal candidate will have strong organizational skills, a passion for effective communication, and a collaborative spirit. This entry-level position involves coordination of internal and external communications and ensuring consistent messaging across all platforms that consistently articulates PAMED’s mission and policies. 

Requirements

QUALIFICATIONS: Required Skill/Education/Knowledge

  • Bachelor’s degree in Communications, Marketing, Journalism, Public Relations, or a related field (or equivalent experience)
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities with keen attention to detail
  • Proficiency in Microsoft Office Suite; familiarity with design tools (e.g., Canva or Adobe Creative Cloud) is a plus
  • Knowledge of social media platforms and content management systems (CMS)
  • Background in social media marketing and web maintenance and basic HTML a plus
  • Ability to meet deadlines, track multiple priorities and manage a high project volume
  • Background in multiple types of both journalistic and marketing writing and editing for a wide range of communications vehicles and channels
  • Demonstrated knowledge of AP Style 
  • Proficiency in digital communications tools and platforms
  • Excellent time management and organizational skills utilizing goal-oriented team approach
  • Ability to handle multiple priorities and meet deadlines
  • Valid state issued driver’s license

SPECIAL REQUIREMENTS:

  • Must meet daily deadlines
  • Periodic occasions requiring night and weekend responsibilities
  • Work at the Annual House of Delegates meeting (typically a weekend in October and some evenings in the weeks leading up to the meeting)
  • Some travel required
  • Monitoring/responding to social media and media-related activities outside of typical working hours on occasion
  • Occasional travel, as required
  • Flexibility to adapt to changing environments and priorities

ESSENTIAL DUTIES:

  1. Assist in developing, editing, and distributing content for various channels, including press releases, email communications, social media, and the website.
  2. Assist in the production of marketing (work with printers, mail-houses, outside vendors). 
  3. Assist in coordinating members and leadership for feature and interview opportunities (i.e. articles, promotional videos, webinars). 
  4. Monitor media tracking software for mentions and news that may impact Pennsylvania physicians. 
  5. Coordinate administrative tasks related to communication projects, including scheduling, tracking project timelines, coordinating invoicing, and maintaining communication records.
  6. Monitor and respond to inquiries from members and stakeholders via email and social media.
  7. Collaborate with team members to ensure consistent branding and messaging across all materials and platforms.
  8. Conduct research to inform communication strategies, such as audience trends, industry best practices, and competitor activities.
  9. Provide logistical support for events, webinars, and other public-facing initiatives.
  10. Organize meetings and serve as a backup for managing meeting agendas. 
  11. Lead the production and organization of the Foundation communications pieces. 
  12. Provide assistance for emergent communication needs in the absence of the Director, Communications & Media Relations and/or Marketing & Communications Project Coordinator.
  13. Actively assesses and improves contributions to company culture by practicing advocacy meaningfully, encouraging and respecting individuals' ideas and experiences, elevating colleagues' confidence to bring their whole and best selves to work, and navigate all communication based in active listening and thoughtful dialogue.

ADDITIONAL DUTIES MAY INCLUDE:

Assist with coordination of other Communications, Membership and PAMED initiatives, as well as other duties that may be requested or assigned.                                                      

PHYSICAL ACTIVITIES

  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
