Community Manager

We are seeking a highly motivated, knowledgeable Community Manager to assist with oversight of a multifamily property portfolio. 

The Community Manager is accountable for all community operations, effective management and coordination of personnel, activities, and available resources in order to accomplish community objectives. These objectives will include maximizing occupancy levels, responsible use of resources, as well as monitoring and management of expenses to maintain/increase property value. Additionally, the Community Manager will ensure the Assistant Community Manager is fully trained to assume managerial duties in the event of the property manager’s absence.

Duties & Responsibilities

Conduct all business in accordance with established policies and procedures including the Fair Housing Act, Americans with Disabilities Act, Fair Credit Reporting Act, and all other applicable federal and state landlord-tenant laws.

• The community manager is responsible for staying within the established budget guidelines throughout the year
• Actively maintain and report monthly variances and narratives
• Ensures all rent is collected when due and posted in a timely manner
• Processes all receipts and bank deposits immediately
• Performs evictions, utility cut-offs and landlord liens as required on delinquent rents
• Communicates with vendors concerning work scheduling, billings, vendor relations and certificates of insurance
• Submits and approves invoices for payment
• Stays abreast of market rental rates and recommends modifications to the Regional Property Manager
• Hires, trains, motivates and supervises all on-site staff in order to achieve operational goals
• Engages with new employees to orient and train
• Performs formal and informal performance evaluations, reviews and approval of timesheets
• Instructs and advises on-site staff of employee procedures and guidelines
• Provides comprehensive feedback to non-performing employees
• Facilitates disciplinary procedures and documentations up to and including termination of employment when necessary
• Conducts on-going training with office staff; e.g., leasing paperwork, workplace safety, and any other type of training that may be needed
• Reports all community incidents immediately
• Ensures injury reports are completed and filed as needed
• Schedules and verifies completion of preventative maintenance items, including required jurisdictional inspections of elevators, sprinklers, backflows, etc
• Ensures that lease files are complete and fully executed
• Ensures the community office opens on schedule
• Assesses the condition of office, curb appeal of community, and common space tidiness daily
• Attends scheduled corporate management meetings
• Maintains records on all aspects of management activity on a daily, weekly, and monthly basis
• Submits required reports to corporate offices on specified cadence
• Assists with hiring for open positions
• Attends to special projects, audits, and other analysis needs 
• Approves and imports batch files 
• Identifies building concerns, security issues, maintenance issues, and capital needs and escalates accordingly
• Maintains a positive customer service attitude at all times
• Performs resident move-ins and move-outs
• Reviews all notices to vacate
• Initiates and implements policies/procedures to maintain resident communications
• Crafts and distributes bulk tenant communications
• Walks and inspects the community daily
• Walks vacants weekly
• Updates vacancy status on a daily basis
• Coordinates with maintenance and make-ready staff to ensure timely processing of turns
• Collaborates with the Maintenance Supervisor to monitor and schedule all maintenance activity
• Processes move-out dispositions in a timely and sensitive manner
• Enforces work order and turn policies
• Provides prioritization of work to align leasing and maintenance goals
• Conducts weekly market surveys
• Shops competition to remain aware of neighborhood and submarket conditions
• Welcomes and shows community to prospective new residents
• Monitors leasing traffic, activity, conversion ratios
• Trains leasing staff and assistant manager to maintain occupancy goals
• Handles incoming correspondence from prospects and tenants
• Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
• Monitors advertising and online presence
• Updates online vacancy daily
• Approves all prospect applications
• Works with leasing staff to capitalize on all traffic and leasing opportunities

Qualifications

This position requires three years of experience in on-site multifamily property management with a minimum of one year as a community manager. Candidates must have a background in supervision and a successful track record of accomplishments. Candidates must also be familiar with Seattle-specific multifamily housing regulations and Multi-Family Tax Exemption programs.

Work Hours

Full time hourly position. Must be available on weekends for staffing needs and emergencies.

Additional Requirements

• Frequent need (20% to 25% of the time) to utilize personal transportation to inspect apartment communities and surrounding neighborhoods
• Attend training sessions and/or industry events
• Must have valid driver’s license and evidence of automobile insurance
