Job Summary:

We are seeking a dedicated and experienced Conference Service Manager to join our team at Warwick Hotel Rittenhouse Square. The Conference Service Manager will be responsible for overseeing all aspects of conference and event planning and execution. This includes coordinating with clients to understand their needs, managing logistics, ensuring seamless communication between departments, and providing exceptional service to ensure the success of each event. The ideal candidate will have a strong background in hospitality management, excellent organizational skills, and the ability to thrive in a fast-paced environment.

Responsibilities:

  • Collaborate with clients to understand their event requirements and preferences.
  • Coordinate all aspects of event planning, including catering, audiovisual equipment, room setup, and dcor.
  • Create detailed event timelines and communicate requirements to relevant departments.
  • Serve as the main point of contact for clients throughout the planning process and during events.
  • Conduct site inspections with clients and provide recommendations to enhance their experience.
  • Coordinate with internal departments, including catering, housekeeping, and facilities, to ensure smooth execution of events.
  • Anticipate and address any issues or concerns that may arise during events, providing timely solutions.
  • Manage event budgets and ensure expenses are within approved limits.
  • Maintain accurate records of event details, including contracts, correspondence, and invoices.
  • Stay updated on industry trends and best practices in conference and event management.

Qualifications:

  • Bachelor's degree in Hospitality Management, Business Administration, or related field.
  • Proven experience in conference services or event management, preferably in a hotel or hospitality setting.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
  • Strong organizational and time management abilities, with a keen attention to detail.
  • Ability to work effectively under pressure and multitask in a fast-paced environment.
  • Proficiency in event planning software and Microsoft Office Suite.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
  • Certification in event planning or hospitality management is a plus.
