Conference Services Receptionist
to support the National Institutes of Health (NIH). NIH is the nation's premier medical research and training institution that supports global conversation that forwards human welfare. In this role, you will interface with World-renowned Scientists, Doctors, Dignitaries, highly esteemed politicians, and countless others within the
Scientific/Research
Community. You will be responsible for coordinating support for their events and acting as the face of the Events Management Branch Conference Services team.
The ideal candidate will have an aptitude for communication and customer service over phones and in person, demonstrating impeccable attention to detail and the ability to handle dynamic situations with professionalism and grace. This position involves communication at all levels of the NIH community, collaboration with internal and external teams, and participation in a culture of service, transparency, and stewardship. Key Areas of Responsibility
Processing and communicating daily tasks to conference support teams.
Answering the main Conference Services request line when Conference Coordinators are unavailable.
Assisting the Program Management Team with producing calendars, policy memorandums, and service announcements.
Interfacing with walk-in visitors and NIH employees.
Monitoring our ticketing system for attendance alerts, urgent outages, and requests for assistance and ensuring the appropriate response personnel are notified.
Collecting and submitting requests for supplies and other vendor services for review by the NIH contract officer.
Minimum Requirements
:
High School Diploma.
Ability to obtain and maintain a public trust clearance.
2 or more years of relevant sales, customer service, or hospitality experience.
Proficiency in Microsoft Office programs, including Word, Excel, and PowerPoint.
Excellent customer service skills.
Strong organizational and time management skills.
Self-starter, able to balance multiple tasks and maintain momentum.
Strong interpersonal and communication skills.
Ability to speak clearly and listen attentively.
Ability to read and write effectively.
Ability to resolve problems effectively.
Ability to manage stressful situations with poise and finesse.
Ability to rely on your team members for support and problem solving.
Preferred Qualifications
Certificate in Events Management, Event Planning, Marketing, or related field.
Public Trust Clearance.
Have or pursuing an associate or bachelor's Degree
Experience with coordinating large
meetings/conferences
Full-service hotel or conference center experience is preferred
Special Position Requirements
Schedule:
Monday to Friday, 9:00am-5:00pm EST.
