Position Title: Risk & Client Intake Coordinator
Employment Type: Full-Time (40 Hours/Week) | Non-Exempt / Hourly
Compensation: $65,000 – $75,000/year (Commensurate with Experience)
Location Structure: Hybrid (3 Days In-Office / 2 Days Remote after initial onboarding)

We are seeking a proactive, highly detailed Risk & Client Intake Coordinator to manage the end-to-end client onboarding and risk management process.
POSITION OVERVIEW & CORE RESPONSIBILITIES
Risk Management & Conflict ClearanceRun, analyze, and clear comprehensive conflict searches in the firm’s database for new clients, matters, and lateral attorney hires.
Identify potential conflicts and escalate complex issues to attorneys or Ethics Counsel as needed.
Draft, track, and circulate engagement letters, conflict waivers, retainer requests, and outside counsel guidelines.
Ensure strict adherence to applicable Rules of Professional Conduct and internal risk control procedures.
Create, update, and maintain accurate client/matter master records across document management, accounting, and conflicts platforms.
Verify client identities and perform required due diligence in compliance with firm governance.
Facilitate client disengagements, closing files, and managing lateral file transfers (including transfer authorization documentation).
Train incoming attorneys and support staff on conflict submission procedures and intake protocols.
Establish client budgets, set up flat-fee or budget tracking alerts, and schedule automated matter reports for handling attorneys.
Monitor outstanding retainer balances, waivers, and signed agreements; issue weekly status reports to stakeholders.
Provide administrative and operational assistance on ad-hoc legal support projects.
IDEAL CANDIDATE QUALIFICATIONS
Experience: 2–5 years of dedicated conflicts and client intake experience within a law firm setting (Law firm experience is strictly required).
Education: Bachelor’s degree preferred.
Ethics & Compliance: Solid working knowledge of ethics rules governing conflicts of interest and rules of professional conduct.
Technical Skills: Proficient in legal risk software, document management systems, Microsoft Office Suite, PDF editors, and electronic signature platforms.

Ability to prioritize multiple time-sensitive tasks in a fast-paced environment.
Discretion in handling highly sensitive, confidential information.

WORK SCHEDULE & ONBOARDING
Schedule: Hybrid model (3 days in-office / 2 days remote).
Onboarding Phase: The role requires full-time in-office attendance during the initial training and acclimation period to integrate with firm operations, build key internal relationships, and master firm-specific workflows prior to transitioning to the hybrid schedule.
