Duties and Responsibilities:
Works as liaison between Construction Department, Community Maintenance Departments, Executive Directors, and Financial Services.
Provides financial services assistance and support to Construction Department as it relates to company construction projects.
Works with Construction Department to understand new projects to be able to ensure all project costs are identified at the start of a project and captured under the appropriate project number.
Attend Construction Department meetings as needed.
Responsible for tracking and reporting capital project goals and assigned project numbers.
Determines project general ledger account codes for all capital projects and entering new projects and budget in accounting software.
Maintains project and purchase order modules of accounting software.
Enters and tracks all purchase orders and change orders.
Processes and tracks invoices related to Owner Purchased Materials, working directly with general contractors and purchasing agents.
Tracks retainage percentages to the proper general ledger account. Reconciles retainage general ledger account monthly.
Reviews all capital project invoices for proper coding and approvals in a timely manner to ensure payment terms are met.
Reviews open projects for budget / actual variances, incorrect coding and proper classification.
Responsible for accurate and timely reporting of open projects to include where appropriate, project actual / budget, percentage completion, anticipated completion and in-services dates.
Responsible for monthly retainage and CIP reconciliation and fixed asset / project reconciliations.
Prepares and records appropriate accounting journal entries.
Prepares and maintains written procedures within area of responsibility.
Close completed capital projects from CIP in accounting software to fixed asset system at least quarterly. Reporting depreciation expense to Accounting Manager quarterly.
Maintain Projects to Expense, reporting quarterly results to Accounting Manager.
Works in coordination with the Accounting Manager in preparing tangible tax returns and ad valorem tax assessment allocations to residents.
Performs other duties as assigned by the Accounting Manager and Supervisor.
Education Four-year college degree with accounting major preferred. Experience will be evaluated in lieu of degree.
