Job Summary


Advanced Facility Solutions is the premier facility service provider across NJ, NY, PA, CT, and FL. We specialize in delivering comprehensive management, labor, materials, and equipment for the installation and maintenance of electrical systems, lighting, HVAC, plumbing, and other facility solutions. Our team of highly trained professionals is dedicated to fulfilling client requests promptly and cost-effectively while ensuring the highest quality service. 
We are currently looking for a skilled Construction Administrator/Coordinator with experience in a variety of commercial construction projects, including new builds, retail and office fit-outs, renovations, and remodels. If you have a strong track record in project coordination and a commitment to successful outcomes, we would love to hear from you. Responsibilities 

  •  Coordinate and effectively communicate with trade contractors and suppliers to ensure project progress

  •  Manage appointments and maintain a detailed calendar of events

  •   Organize meetings, take precise minutes, and assist with writing emails, memos, contracts, change orders, and AIA documents

  •   Contribute to the production of company reports to support decision-making processes

  •  Maintain an efficient electronic filing system for easy document retrieval

  •  Develop, update, and uphold essential office procedures to streamline operations

  •  Track budget and costs, overseeing purchasing of materials, conducting scope reviews, and analyzing project requirements

  •   Manage submittals, invoicing, construction documentation, and set up supplier accounts

  •   Handle a significant volume of phone communications including cold calls and follow-ups to support project demands


Qualifications

  •  Proven experience in construction administration within a variety of trades including carpentry, flooring, drywall, millwork, paint,     plumbing, electrical, HVAC, sprinkler systems, site civil work, concrete, masonry, and steel

  •  Previous role as a Construction Administrator/Coordinator or related position in the construction industry

  •  Proficiency in operating standard office equipment such as printers and fax machines

  •  Advanced computer skills with expertise in Microsoft Word, Outlook, PowerPoint, Adobe Editor, and MS Project

  •  Exceptional organizational abilities with strong time management skills to effectively prioritize multiple projects




Compensation: $50,000.00 - $65,000.00 per year
