POSITION REQUIREMENTS



  • High school diploma or equivalent GED is required.

  • Proven work experience in a similar position.

  • Must have reliable transportation.

  • 3+ Years Experience


POSITION PURPOSE


The Construction Project Coordinator serves as the on-site owner representative during office renovation and construction activities during a 3-month remodel of our office building, from November to January. This position is responsible for overseeing day-to-day contractor activities, monitoring schedule compliance, ensuring safe work practices are followed, and serving as the primary liaison between contractors, the Project Lead, and the Facility Manager.


This role is focused on project execution, communication, and safety oversight. The position does not have responsibility for project budgeting, cost tracking, procurement, or contractor payment approvals.


Key Responsibilities


Contractor Oversight



  • Provide daily on-site oversight of contractor activities.

  • Monitor construction progress and ensure work is performed according to approved plans and specifications.

  • Verify contractors maintain work areas in a safe, organized, and professional manner.

  • Escalate issues that may impact quality, schedule, safety, or facility operations.

  • Coordinate contractor access and daily work activities with facility stakeholders.


Safety Leadership



  • Monitor contractor compliance with site safety requirements and applicable regulations.

  • Verify required permits, lockout/tagout procedures, and safe work practices are being followed.

  • Immediately report unsafe conditions, unsafe behaviors, or safety incidents to the appropriate parties.

  • Support contractor safety meetings and site inspections as required.

  • Act as a visible advocate for safe execution of all renovation activities.


Schedule Management



  • Monitor contractor progress against the approved project schedule.

  • Identify potential schedule delays and communicate concerns proactively.

  • Coordinate resolution of schedule conflicts with contractors and project stakeholders.

  • Track key project milestones and completion dates.

  • Provide recommendations to minimize disruptions and maintain project timelines.


Communication and Coordination



  • Serve as the primary day-to-day liaison between the contractor, Project Lead, and Facility Manager.

  • Conduct routine walkdowns to gather project status updates and identify potential issues.

  • Facilitate communication regarding facility impacts, access requirements, shutdowns, and occupant concerns.

  • Ensure all stakeholders are informed of upcoming activities that may affect operations.


Reporting



  • Provide daily status updates to the Project Lead and Facility Manager.

  • Document project progress, completed work, safety observations, schedule status, and emerging risks.

  • Maintain records of contractor meetings, site observations, and action items.

  • Escalate critical issues requiring management support or decision-making.


Responsibilities Excluded from This Role


The Construction Project Coordinator is not responsible for:



  • Project budgeting or cost control

  • Financial forecasting

  • Contractor invoice approval

  • Capital authorization management

  • Procurement activities

  • Contract negotiation or administration

  • Scope approval authority


These responsibilities remain with the designated Project Lead and facility leadership.

  • Weekly progress summaries


Desired Qualifications



  • Experience managing contractors in industrial, commercial, or office construction environments.

  • Strong understanding of construction safety requirements and contractor management practices.

  • Excellent communication and stakeholder management skills.

  • Ability to identify and resolve project execution issues quickly.

  • Experience reading construction drawings and project schedules.

  • Strong organizational and reporting skills.


Success Measures



  • Zero contractor safety incidents attributable to inadequate oversight.

  • Timely communication of project risks and issues.

  • High schedule adherence and proactive identification of delays.

  • Effective coordination between contractors and facility stakeholders.

  • Minimal disruption to office operations during renovation activities.

  • Accurate and timely daily project reporting.
