Reports to: Director of Commercialization, with dotted-line reporting to Director of Finance


Purpose


IPI is seeking a results-oriented, highly organized and collaborative team member to join its Commercialization team.  This is a cross-functional role that encompasses a variety of responsibilities including contract management, CRM administration and general business development support.  This position will manage contracts workflow from initial intake through execution, maintain IPI’s customer relationship management (CRM) system, and participate in and coordinate business development activities.  This position works closely with members of Commercialization, Finance, scientific teams and external partners, facilitating communication among stakeholders to help clarify responsibilities, workflows, timeframes and project status.


 


Primary Responsibilities


Contract Management



  • Coordinate the administrative workflow for a variety of scientific contracts and legal agreements, including confidentiality agreements, collaboration agreements, sponsored research agreements, licensing-related documents, vendor agreements, and other contracts.

  • Receive initial contract requests, confirm required information, and route documents to the appropriate internal reviewers.

  • Monitor and track all contracts through full life cycle, including initial contract review, revisions, required approvals, execution and final filing.

  • Monitor key contract dates, deliverables, renewals, and other contract milestones.

  • Ensure that executed contracts have all related documentation are complete, accurate, and appropriately organized and retained.

  • Coordinate with Commercialization, Finance, scientific teams, legal counsel, and other stakeholders regarding status of contracts.

  • Maintain a centralized contract tracking system and provide timely status updates to relevant team members.

  • Support continuous improvement of contract intake, review, approval, and recordkeeping processes.


 


CRM Administration



  • Serve as the primary administrator and day-to-day manager of IPI’s CRM system (HubSpot).

  • Enter, maintain, and regularly review contact, organization, opportunity, and activity data.

  • Establish clear and consistent processes, workflows and standards for CRM use across the organization.

  • Monitor data quality and completeness and follow up with team members to obtain missing or incomplete information.

  • Develop reports, dashboards, and pipeline summaries to support business development planning and management reporting.

  • Train and assist colleagues in the effective use of CRM system.

  • Recommend improvements to CRM workflows, fields, reports, and integrations as organizational needs evolve.


 


Business Development Support



  • Support the Director of Commercialization in identifying, tracking, and advancing business development opportunities.

  • Coordinate meetings, follow-up activities, and internal deliverables associated with prospective partners, collaborators, customers, and other external stakeholders.

  • Assist with the preparation of presentations, proposals, briefing materials, and other business development documents.

  • Conduct basic company, market, and industry research to support opportunity assessment and business development planning.

  • Maintain organized records of business development activities, correspondence, decisions, and next steps.

  • Track key milestones and ensure that action items are completed on schedule.

  • Support special projects and other commercialization or organizational priorities as needed.


 


Title will be determined based on experience and may include Specialist, Administrator or Manager.


 


Salary Range: $70,000 - $90,000


 


Requirements



  • Bachelor’s Degree in business or life sciences

  • Minimum of 3 years of relevant professional experience.  May include internships, academic projects, laboratory operations or comparable experience. 

  • Strong organizational and project management skills, with keen attention to detail and accuracy

  • Proven ability to effectively manage multiple priorities and deadlines. 

  • Excellent written and verbal communication skills

  • Ability to work both independently and collaboratively within a multidisciplinary team environment



  • Sound judgment and discretion when handling confidential or commercially sensitive information.

  • Ability and willingness to learn new systems, processes, and business concepts.


 


Preference for the following experience:



  • Experience working in a biotechnology, pharmaceutical, academic research, nonprofit research, or technology-transfer environment.

  • Familiarity with CRM platforms such as HubSpot, or a comparable system.

  • Experience coordinating contracts, approvals, or document-management workflows.

  • Exposure to business development, licensing, commercialization, or research partnerships.

  • Experience developing reports, tracking metrics, or maintaining operational dashboards.
