The Controller is responsible for overseeing all financial, accounting, and human resources operations at Excel Driver Services and its associated entities. This position ensures the accuracy, integrity, and efficiency of financial systems, supports strategic decision-making, and maintains compliance with all regulatory requirements.
The Controller provides hands-on leadership in financial reporting, accounts payable and receivable, payroll, and budgeting processes while guiding the company’s fiscal strategy and maintaining transparency with senior management and stakeholders.
Key Responsibilities
Accounts Payable (A/P)
Process and input incoming mail and invoices in a timely and accurate manner.
Record receipts and expenses; manage vendor payments and check preparation based on cash flow.
Handle and respond to A/P-related email and phone inquiries.
Verify account balances and reconcile vendor accounts prior to month-end closing.
Maintain filing systems and organize all supporting documentation.
Enter fuel receipts, make reports and enter into QuickBooks and manage fuel tax reporting.
Reconcile actual receipts against FUEL INVOICES and reports and record data in QuickBooks for fuel tax preparation.
Accounts Receivable (A/R)
Review and analyze A/R reports regularly to ensure timely collections and account accuracy.
Manage collections processes and maintain positive customer relationships.
Prepare and send customer statements and invoices as needed.
Maintain organized filing and documentation of A/R records.
Respond to all A/R-related email and phone communications promptly.
Payroll Management
Prepare and record all payroll journal entries in QuickBooks.
File and organize all payroll-related documentation, including child support, W-4s, and garnishments in personnel files.
Process and submit all tax agency forms and paperwork, coordinating with Bamboo Payroll for timely and accurate filings.
Financial Statements & Reporting
Maintain up-to-date fixed asset records and manage depreciation and amortization schedules.
Record all liability interest expenses and manage prepaid and accrued expenses.
Reconcile all asset and liability accounts monthly to ensure accurate financial statements.
Review Profit & Loss (P&L) statements for anomalies or inconsistencies and make necessary adjustments.
Prepare comprehensive financial reports and packages for all branches, including Sim-Tech, Denver, and San Antonio locations.
Develop and maintain annual budgets, as well as budget-to-actual financial analyses.
Manage company loans, including applications, payments, and compliance documentation.
Human Resources (H/R) Support
Oversee employee onboarding and benefits tracking for 90-day, 1-year, and 3-year milestones.
Provide and manage employee insurance information, including health, dental, and vision (VSP) plans.
Enter and maintain employee benefits data within applicable systems.
Respond to employee inquiries related to insurance, payroll, and other HR matters.
Qualifications
Bachelor’s degree in Accounting, Finance, or Business Administration required; CPA or MBA preferred.
Minimum of 5–7 years of progressive experience in financial management, preferably within transportation, training, or related industries.
Preferred proficiency with QuickBooks, Microsoft Excel, and Bamboo Payroll systems.
Strong understanding of GAAP principles, financial controls, and budgeting.
Excellent analytical, organizational, and problem-solving skills.
Proven ability to manage multiple priorities and meet strict deadlines.
Exceptional communication and leadership skills with a collaborative, hands-on management style.
Work Environment
Full-time, position is located at Excel Driver Services headquarters.
Standard office environment: occasional travel to branch locations may be required.
