Job Description - Coordinator, Development Operations and Stewardship

JOB SUMMARY


The Coordinator, Development Operations and Stewardship responsible for database and donor record management, including gift processing, gift acknowledgment, also providing reporting, mailing list, donor referrals, conducting foundation and individual prospect research. The coordinator will partner with the Vice President of Advancement to execute donor stewardship and giving circle programs. This position will assist with donor relations.


 


This position reports to the Manager, Foundation Grants and Development Operations and serves as liaison to the Advancement Operations. The standard schedule for this position is Monday-Friday, and it is expected to work on-site.  This role requires working some weekends and holidays.  


 


DUTIES AND RESPONSIBILITIES


Development Operations



  • Responsible for gift processing, donor services, and donor gift acknowledgment processes.

  • Maintain organization’s database (Raiser’s Edge NXT), acting as the primary for data entry. Perform or manage entry of all donor information, including contact information, donation history, prospect information, and moves management.

  • In partnership with the Manager, Foundation Grants and Development Operations reconcile gifts and provide reporting

  • Manage recurring gift program, and track pledge expirations and reminders

  • Partner with Vice President for Advancement to develop and execute donor referral and prospect briefing process.

  • Develop and implement best practices for foundation and individual prospect research.

  • Provide major gift donor referrals and prospect research briefing to gift officers and the leadership team.

  • Execute gift agreement and invoice requests and properly document in database.

  • Generate reporting, mailing and donor lists for the department.

  • Manage online RMHC Bay Area Wish Lists.

  • Execute McDonalds Owner/Operator monthly incentive program, including mailing incentives and properly documenting in database.

  • Manage Advancement department ordering and organization of Advancement team office supplies, collateral, and event materials.

  • Provide support for fundraising, donor, and community engagement events.

  • Provide administrative support to the department as needed.


 Donor Relations and Stewardship



  • Partner with the Vice President of Advancement to execute donor stewardship and giving circle programs.

  • Partner with gift officers to develop and execute annual customized stewardship and reporting for foundations, major gift, and corporate donors.

  • Collaborate with the Manager, Corporate Philanthropy and Engagement to steward and support third-party event fundraisers.

  • Support the Manager, Foundation Grants and Development Operations in the execution of the annual report.

  • Provide support for donor relations, including in-kind donation requests and contacting donors to troubleshoot issues.

  • Provide support for external tool kits and handouts. 


EDUCATION  



  • Bachelor’s degree and/or at least 1-2 years of administrative experience.


 KNOWLEDGE, SKILLS AND EXPERIENCE



  • Knowledge of (or ability to learn quickly) donor databases.

  • Previous full-time work experience in a professional office setting required.

  • Computer literate in MS Office Suite, especially Excel and performing mail merges.

  • Detail-oriented, highly organized and able to prioritize multiple projects.

  • Interest in and/or understanding of the nonprofit community.

  • Excellent communications skills, both written and verbal, and ability to proofread.

  • Ability to work evenings and weekends as needed to support events and high-volume times of year (including Thanksgiving through New Year’s Day).

  • Maintain confidentiality of House families and donors and related reports and documentation.

  • Valid CA driver’s license.

  • Ability to work in a semi-medical environment with children being treated with life-threatening illnesses and their families.

  • Must be able to lift 25 pounds.
