The Coordinator of Accountability and Metrics supports the Facilities and Maintenance Operations (FMO) division by managing performance data, analyzing operational metrics, and coordinating accountability systems that promote service excellence. This role is responsible for developing and maintaining tools, reports, and processes that measure the effectiveness, efficiency, and responsiveness of maintenance and facilities services across all district campuses and support facilities.
1. Develop, manage, and monitor key performance indicators (KPIs) aligned with district goals and FMO service level agreements. Analyze trends in work order completion rates, response times, preventive maintenance compliance, staffing utilization, and other operational metrics.
2. Coordinate the collection and validation of performance data from the Enterprise Resource Planning (ERP) System and/or Computerized Maintenance Management System (CMMS) and other systems.
3. Design and maintain dashboards and reports that communicate performance data to internal stakeholders, district leadership, and school-based staff. Prepare monthly, quarterly, and annual performance reports with actionable insights and recommendations. Track progress toward operational goals and continuous improvement initiatives.
4. Support the development and implementation of standard operating procedures and accountability frameworks within maintenance, grounds, custodial, and trades teams. Monitor adherence to service level expectations and identify opportunities for process improvement. Collaborate with supervisors and department heads to implement corrective actions when targets are not met.
5. Liaise with IT, Finance, and HR departments to ensure data consistency, accurate labor tracking, and resource alignment. Provide support to Facilities leadership during audits, inspections, and special initiatives requiring metrics and documentation.
6. Train department users on data entry standards, performance expectations, and the use of reporting tools. Ensure transparent communication of performance goals and outcomes to promote a culture of accountability and service excellence.
7. Performs other job-related duties as assigned.
Bachelor’s degree in Business Administration, Public Administration, Facilities Management, Data Analytics, or a related field., preferred
1 to 3 years
Proficiency with Microsoft Office (Excel), Power BI, and other data visualization tools.
Experience with CMMS platforms (e.g., SAP, Oracle, SchoolDude, FMX, Maximo) and work order management systems.
Office equipment (e.g., computer, copier)
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training to staff.
Work involves the application of moderately complex procedures and tasks that are quite varied. Independent judgment is often required to select and apply the most appropriate of available resources. Ongoing supervision is provided on an "as needed" basis.
No budget development activity is required.
Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures or services.
Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.
Information sharing - gives and receives information such as options, technical direction, instructions and reporting results. Interactions are mostly with customers, own supervisor and coworkers in own and other departments.
Regularly assesses and diffuses complex, and escalated customer issues. Takes personal responsibility and accountability for solving systemic customer service problems. Regularly explores alternative and creative solutions to meeting the needs of the customer within HISD's policies and guidelines.
Work involves some exposure to moderate risk of accident and requires following basic safety precautions.
Ability to carry and/or lift less than 15 pounds.
