The Richmond SPCA is a non-profit organization located in the heart of Richmond, Virginia. As a leader in the field of animal welfare, we are cultivating a community committed to saving, protecting and enriching animal lives with a mission to provide education and resources to achieve and sustain a no-kill community. Annually, we rescue, rehabilitate and find homes for about 4,000 homeless animals while also providing our region with vital safety net programs designed to keep thousands of pets in loving homes and out of shelters. The Advancement team at the Richmond SPCA exemplifies and upholds a culture of philanthropy that advocates the highest ethical standards and practices to: ensure donor confidence; reinforce the value that the work of all Richmond SPCA staff contributes to our philanthropic goals; and advance the mission and impact of the Richmond SPCA. The Coordinator of Stewardship assists the Advancement team’s annual fundraising efforts with the goal of inspiring compassion and philanthropy in our community. 

Essential Functions

• Serve as the initial contact for members of the public (individuals and businesses) seeking to support the Richmond SPCA financially or through gift-in-kind donations 
• Process and enter donations (check, cash, online, tribute gifts, gifts-in-kind, workplace giving, vehicle gifts, hospital gifts, retail gifts) into our constituent relationship management (CRM) system and generate timely and accurate gift acknowledgments
• Maintain and improve the integrity of records in our CRM, including de-duping constituents and improving data entry processes 
• Manage recurring donations, matching gifts, and payment of Annual Fund pledges
• Steward non-major donors including, but not limited to, first-time donors, monthly donors, workplace giving donors, and in-kind/donation drive donors 
• Manage in-kind online wish lists, coordinate donation drop-offs, and provide support for wish list drives 
• Prepare deposit reports and ensure timely in-person bank deposits on behalf of the organization
• Flag appropriate action items for advancement team members, including Chief Advancement Officer, Manager of Annual Giving, Manager of Events, and Assistant Manager of Events 
• Contribute ideas to creatively support the activities and goals of the Advancement department
• Assist with creating fundraising appeals (Pet Post mailer, online appeals)
• Represent the organization at off-site events, often accompanied by a Richmond SPCA pet 
• Assist with Advancement events, including but not limited to the Fur Ball and the Dog Jog, 5K and Block Party
• Coordinate and train volunteers to assist with fundraising-related tasks 
• Perform other duties as assigned 

Qualifications, Skills, and Expectations

• One to three years of professional donor stewardship experience preferred
• Alignment with the Richmond SPCA’s mission to achieve and sustain a no-kill community – including promoting pet adoption and spaying/neutering – and to utilizing reward-based, positive reinforcement (R+) training methods
• Effective, professional, prompt, and empathetic communication (email, phone, and in person) with the public, volunteers, and all Richmond SPCA employees
• Attitude that contributes to a welcoming, accessible, compassionate, and respectful atmosphere 
• Ability to work effectively and independently in a fast-paced environment
• Exceptional organizational skills and a meticulous attention to detail, especially with data entry, written communications, and proof-reading
• Punctual, reliable, deadline-driven with excellent time management skills
• Ability to multi-task, take and follow directions, and adapt to and productively accommodate changing demands
• Natural collaborator
• Strong work ethic, resourcefulness, and a “can-do” attitude
• Ability to maintain confidentiality of sensitive constituent information
• Creative and strategic thinking abilities with a proactive approach to problem-solving
• Enthusiasm and willingness to learn new technology systems and protocols
• Proven experience with data entry; experience using Virtuous preferred 
• Proficiency using Microsoft 365, particularly with Word and Excel
• Comfort handling or learning to handle dogs and cats

• Availability to work weekdays; weekend and evening work required on occasion 
• Have reliable transportation and a valid driver's license
• Be 18 years of age or older

Physical Job Requirements

• Able to work around animals (including those who are sick or injured or who have challenging behaviors), loud noises, cat litter, animal waste, allergens (pet dander, peanut butter), various chemicals, and disinfectants
• Able to sit or stand at a desk and perform administrative tasks (using a computer or phone) for up to 8 hours at a time
