Job Summary

The Planning Coordinator performs a variety of administrative, research, and coordination tasks in support of District planning, policy, and public processes. This position assists with documentation, data tracking, public meeting support, and interagency coordination to ensure District initiatives are organized, compliant, and effectively communicated. This role provides implementation-level support to the District Superintendent and does not include responsibility for project management or supervisory duties.


Requirements

Minimum Qualifications

  •  Associate’s degree in public administration, planning, business, or related field; OR equivalent combination of education and experience.
  •  One (1) year of administrative, clerical, or program support experience.

The successful applicant must pass a required pre-employment background check, and subsequent mandatory background checks in accordance with current District policy requirements.

Preferred but not required:

  •  Experience working in a public agency or local government setting.
  •  Familiarity with planning, land use, or public meeting processes.
  •  Experience with Microsoft Office; familiarity with GIS and Adobe Creative Suite is a plus

Essential Functions

Administrative and Policy Support

  •  Assist in preparing staff reports, board memos, meeting summaries, and routine correspondence.
  •  Review documents, forms, and records for completeness, accuracy, and compliance with District policies and procedures.
  •  Track contracts, agreements, and policy documents to ensure proper documentation.
  •  Assist with compiling information related to procurement processes and contract administration.
  •  Support responses to public records (GRAMA) requests by organizing and retrieving requested materials.

Planning Support

  •  Assist in maintaining records related to District assets, easements, maps, and planning documents.
  •  Compile background information and organize materials for planning projects and capital improvement efforts.
  •  Assist in tracking planning tasks, timelines, and deliverables.
  •  Support preparation of maps, exhibits, and presentation materials

Public Process and Meeting Coordination

  •  Coordinate logistics for Board, public, and stakeholder meetings taking
  •  Assist in preparing presentation materials and compiling meeting packets.
  •  Take meeting notes and prepare summaries or action item lists.
  •  Respond to routine inquiries from the public and direct questions to appropriate staff.

Research and Data Support

  •  Conduct basic research on planning topics, policies, or comparable agencies as assigned
  •  Collect, organize, and format reports with data related to facility usage, programs, or planning initiatives.
  •  Maintain organized digital and physical filing systems for planning and administrative records.

Coordination and Communication

  •  Communicate with internal departments, vendors, and partner agencies to gather information and follow up on tasks.
  •  Assist with tracking interagency coordination efforts and maintaining contact records.
  •  Support grant documentation by organizing required materials and tracking deadlines

Knowledge, Skills, and Abilities (KSAs)

Knowledge of:

  •  General administrative and clerical practices
  •  Basic public sector processes and terminology
  •  Recordkeeping and document management systems

Skills and Ability to:

  •  Review documents for accuracy and completeness
  •  Organize and maintain records and data systems
  •  Communicate effectively both verbally and in writing
  •  Follow established procedures and meet deadlines
  •  Work independently on assigned tasks or as part of a team
  •  Maintain confidentiality of sensitive information

Working Conditions, Physical Requirements, and Aptitudes

  •  Duties are typically performed in a general office setting or a remote location, such as a home office.
  •  Frequent interaction with a variety of people.
  •  Occasional evening meetings may be required.

Physical Requirements

  • Equal or less than 25% | Frequent walking, bending, and other physical exertion
  • Equal or less than 25% | Pushing, pulling, and bending
  • Equal or less than 25% | Ability to lift and carry up to 25 pounds unassisted
  • Equal or less than 100% | Prolonged focus on a computer screen 
  • Equal or less than 75% | Prolonged periods of standing or sitting
