Corporate HUB Administrator 


 


Position Summary:


The Corporate  HUB  Administrator is the lead authority over all mitigation operations across multiple branches. Responsible for up to three separate mitigation teams, consisting of a Mitigation Manager and their assigned technicians—this role ensures that all mitigation activities are executed according to IICRC, EPA, OSHA, and program guidelines. This position is office-based and relies on field reporting, photographic documentation, and software management to direct and verify work in real time.


 


Key Responsibilities


 


Multi-Team Oversight:


Lead up to three mitigation teams across three branches (min of 2)


Serve as the dominant leader for each job and team—no work begins until instructed by the Administrator.


Ensure daily technician and manager debriefs are submitted and followed.


Ensure IICRC Protocols are followed in real time.


 


Claim Intake and Workflow Management:


Contact policyholder upon assignment to gather details.


Notify the local mitigation manager and ensure the inspection occurs within 2 hours.


Review photographic scope of work and approve emergency services.


Initiate communication with insurance via PSA and XactAnalysis.


 


Real-Time Oversight & Documentation:


Use Company Cam to monitor progress, cleanliness, and containment.


Request and post daily mitigation debriefs into PSA and XactAnalysis.


 


Software & System Responsibilities:


Responsible for PSA, XactAnalysis, MICA, Fire & Ice, Company Cam, Helix. & Job track


Maintain daily logs, estimate updates, and moisture tracking in MICA.


 


Adjuster Communications & Approvals:


Request all necessary approvals before work begins (e.g., AQ tests, demo, specialty drying).


Ensure all permissions are documented in writing to protect Apex.


 


Work Order & Financial Oversight:


Submit technician and subcontractor work orders.


Ensure all claims are collected within 60 days of signed COS.


Participate in Separate weekly meetings with AR, Compliance Director, Exec Mitigation Officer, and VP.


 


Key Performance Indicators (KPIs):


100% of mitigation claims contacted within 1 hour of assignment.


All inspections scheduled and performed within 2 hours of notice.


Daily debriefs received from every team on every job – 100% compliance.


All scopes reviewed and approved within 4 hours of submission.


Preliminary estimates generated within 24 hours of scope approval.


All software platforms (PSA, MICA, etc.) update daily.


All adjuster communications documented within 24 hours.


Claims collected within 60 days of Certificate of Satisfaction – target: 95% or higher.


Weekly internal meetings attended and documented – 100% compliance.


Zero claims begin mitigation without

  • $55,000 per year paid bi weekly
