Credentialing Coordinator

The Credentialing Coordinator coordinates credentialing for assigned physicians and neurodiagnostic technologists supporting INN's IONM and EEG services. Working under the direction of the Credentialing Supervisor, the Coordinator handles each clinician's credentialing from onboarding through separation. This includes state licensure, hospital privileges, reappointments, renewal of time-limited credentials, file maintenance, and primary source verification as assigned. The Coordinator serves as the primary credentialing contact for assigned clinicians and facilities and works to keep every clinician's credentials and privileges current at each facility they serve.

Credentialing Files and Expirables

• Gather, verify for completeness, and maintain credentialing records in the credentialing management system so every file is accurate and ready for inspection at any time
• Monitor expiration dates for licenses, board certifications, CNIM, R. EEG T., R.EP T., BLS/CPR, professional liability coverage, and facility-specific requirements. Begin renewals within the lead time set by INN credentialing policy to minimize preventable lapses and escalate renewal risks
• When an assigned clinician leaves INN or stops covering a facility, notify the affected medical staff offices, submit privilege relinquishment notices, and close out or update credentialing files and tracking
• Build and maintain productive working relationships with assigned physicians, their administrative staff, and INN's IONM and EEG technologists. Communicate requests clearly, respect their schedules, and handle requests efficiently to limit disruption to their clinical work

Hospital Privileges

• Complete and submit initial and reappointment applications for hospitals and surgery centers, including credentialing-by-proxy applications where applicable
• Build and maintain productive working relationships with client medical staff offices. Serve as their primary contact for assigned clinicians, respond to credentialing questions promptly, and follow each application through to approval

State Licensure

• Prepare initial and renewal state license applications for assigned clinicians
• Prepare Interstate Medical Licensure Compact applications and use FSMB credentials verification services where applicable
• Follow up with licensing boards and clinicians until each license is issued

Primary Source Verification and File Maintenance

• Maintain complete, current credentialing files for licensed practitioners through initial appointment and reappointment. Prepare files for review on schedule
• Track reappointment due dates and gather updated documentation early enough that files are complete before each cycle closes
• Perform primary source verification when assigned. This covers licensure, board certification, education and training, work history, National Practitioner Data Bank queries, and OIG/SAM exclusion screening
• Document verification results, dates, and sources according to INN policy and TJC standards
• Complete time-sensitive re-verifications at reappointment and upon renewal of expiring credentials
• Compile and file FPPE and OPPE documentation for licensed practitioners according to applicable accreditation standards, facility requirements, and INN policy
• Escalate any discrepancies, adverse findings, or gaps in history to the Credentialing Supervisor promptly

Technologist Credentialing

• Onboarding activities such as participating in orientation meetings with techs to discuss action items and introduce credentialing workflows
• Coordinate with facility stakeholders regarding tech onboarding, EMR access, applications, badging, or vendor account access 
• Ongoing maintenance and travel coordination 

Internal Coordination and Process Improvement

• Give the Credentialing Supervisor a status report on assigned clinicians at regular intervals, or on request
• Escalate anything that threatens a clinician's ability to provide patient care, such as stalled applications, pending licenses, or near-term expirations, as soon as it surfaces
• Communicate timely license, privilege, and credentialing updates to Operations, payer enrollment, leadership, and other authorized stakeholders. Provide credentialing records and status reports as requested
• Monitor changes in state board and client facility credentialing requirements, and recommend updates to checklists and templates
• Participate in internal file audits and fulfill TJC and client hospital survey requests
• Identify workflow bottlenecks and suggest improvements to templates, tracking, and procedures
• Participate in credentialing team meetings, contribute to team goals, and help solve problems
• Carry out management decisions once they're made, and adjust to changes in priorities, processes, and assignments. 
• Contribute to a team environment built on trust, respect, and shared workload
• Other duties as assigned

Confidentiality

This role routinely handles Social Security numbers, dates of birth, licensure histories, and National Practitioner Data Bank results. The Coordinator accesses and discloses this information only as authorized under INN policy. The Coordinator also protects login credentials for credentialing portals and databases and follows INN security practices for system access.

Physical Demands

• Prolonged periods of sitting at a desk and working on a computer
• Manual dexterity required for keyboarding and other manual tasks
• Must be able to lift up to 10lbs at a time
• Must be able to effectively commute to/work in the downtown office (per INN policy) to provide necessary in-person collaboration and training

 Required

• 1–2 years of healthcare administrative, medical office, HR, or comparable coordination experience
• High school diploma or GED
• Proficiency with office productivity software, including word processing, spreadsheets, email, and cloud-based document sharing

Preferred

• Experience with provider credentialing, medical staff services, or professional licensure
• Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Staff Management (CPMSM) by the National Association Medical Staff Services (NAMSS)
• Associate's or bachelor's degree
