Job Description - Customer Operations Representative

We are seeking a proactive and customer-focused Customer Operations Representative to support daily operational processes while delivering exceptional service to our clients. This role serves as a critical link between customers and internal teams, ensuring smooth order processing, issue resolution, and overall customer satisfaction. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced remote environment.

Key Responsibilities

  • Serve as the primary point of contact for customer inquiries via email, chat, and phone.
  • Process customer orders, requests, and account updates accurately and efficiently.
  • Monitor and manage customer accounts, ensuring timely follow-ups and issue resolution.
  • Collaborate with internal departments (operations, logistics, billing, and technical teams) to address customer needs.
  • Track and report on customer service metrics, including response time, resolution time, and satisfaction levels.
  • Identify recurring issues and recommend process improvements to enhance operational efficiency.
  • Maintain accurate records of customer interactions and transactions in CRM systems.
  • Assist in onboarding new customers and providing guidance on products or services.
  • Ensure compliance with company policies and service standards.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 1–3+ years of experience in customer service, customer operations, or administrative support roles.
  • Strong communication skills (written and verbal) with a customer-first mindset.
  • Proficiency in Microsoft Office Suite and customer relationship management (CRM) tools.
  • Excellent organizational and multitasking abilities.
  • Ability to resolve issues efficiently and maintain professionalism under pressure.
  • Experience working in a remote or distributed team environment is a plus.
