Job Description - Customer Order Coordinator

About the Role:

  • Be the first point of contact for our sales reps and clients

  • Handle all incoming orders via phone, email, or fax

  • Ensure orders are processed correctly and sent to partnered companies

UMS is seeking two dependable and detail-oriented Order Support Specialists to join our growing team. As the first point of contact for our sales reps and clients, you’ll play a critical role in managing the order process from start to finish. This role is ideal for someone who enjoys helping others, thrives in a fast-paced environment, and has a knack for staying organized. You'll be working remotely but closely with our internal teams and partnered companies to ensure a smooth and efficient order flow.

In this role, you’ll be responsible for processing all incoming orders—whether by phone, email, or fax—and making sure they are accurately entered into our system. You'll take ownership of the entire order process so that our sales reps can focus on generating revenue and building client relationships. Key Responsibilities:

  • Answer incoming calls from reps between 6:30 AM – 8:00 PM EST

  • Receive and process orders sent via phone, email, or fax

  • Communicate professionally with clients and sales reps

  • Enter orders accurately into the UMS system

  • Forward orders to appropriate partnered companies

  • Maintain detailed logs of orders and client communications

  • Take full ownership of the order-handling process so reps can focus on sales

Qualifications:

  • Strong communication and organizational skills

  • Customer service or administrative support experience preferred

  • Ability to work remotely with high reliability

  • Experience in a healthcare or medical-related field is a plus

  • Tech-savvy; familiar with email, fax, and CRM or order entry systems
