Essential Duties and Responsibilities: Duties include, but are not limited to:
1. Provides support to Executives and Sales team as needed, as well as completes general office administrative activities. Identifies issues and brings possible solutions to the table.
2. Sits at the front desk & greets people at the front door of the office. Sorts incoming mail and sends outgoing mail or packages.
3. Takes lead on keeping the office tidy including but not limited to supply closet, kitchen, marketing “swag” room, etc.
4. Scans checks daily directly to the company bank; communicates details to the Accounting Department.
5. Ensures office and kitchen are fully supplied, keeping costs in mind when making purchases. Maintains subscription services i.e., water, ink, cable, internet, phones, etc. Schedules office cleanings and water plants.
6. Tech troubleshooter: Ensures items like Apple TV, Zoom, OWL, projector, wifi, etc. are functioning prior to meetings.
7. Main contact for the office building leasing management team, including maintenance or general leasing questions and negotiations.
8. Ensures parking passes, key fobs, and other office equipment are up to date and functioning, while maintaining a control list of these items.
9. Keeps approved restaurant list for Friday lunches. Orders & picks up lunch for the team.
10. Coordinates food and beverages for guest and business meetings, including but not limited to coffee and breakfast spread, catered lunches, and offering beverages to guests.
11. Assists in planning company off-site meetings and events, i.e. holiday luncheon, making arrangements while keeping a budget in mind.
12. Provides digital and hard copy organization of information that may be sensitive, confidential, or technical in nature.
13. Processes all customer sample orders & maintains sample inventory
14. Oversee and maintain the functionality of the phone system, ensuring uninterrupted communication channels, out of office messages and communicating messages to the appropriate party. Manage phone system configurations, including extensions, voicemail settings, and call routing, to optimize efficiency and meet business needs.
