Job Summary:
Under the direction and supervision of the Customer Service and Registration Supervisor, the Customer Service & Registration Associate is responsible for delivering high-quality customer service to both internal and external customers.
The ideal candidate is friendly, positive, and proactive, with strong written and verbal communication skills. Reliability and a commitment to safety are essential qualities for success in this role.
Key responsibilities include:
- Assisting patrons at the front desk.
- Answering phones.
- Processing registrations and monthly billing payments.
- Managing donations.
- Setting up District-issued cell phones and iPads.
- Purchasing office supplies and staff breakroom provisions as needed.
Qualifications:
- High school diploma or GED equivalent required.
- Basic office and customer service experience preferred.
- Must possess strong interpersonal skills and demonstrate enthusiasm for delivering exceptional customer service.
- Must maintain a positive, professional attitude and be conscientious in all tasks.
- Detail-oriented and organized, with strong data entry accuracy and good recall.
- Must enjoy working with the public and have a courteous, professional telephone manner.
- Experience with RecTrac recreation software preferred.
- Must possess or be able to obtain CPR/AED and First Aid certification within six months of hire.
- All full-time employees must pass a criminal background check, drug test, and physical exam, which the Glencoe Park District will cover.
Required Knowledge:
- Knowledge of general office procedures and operation of standard office equipment.
- Strong written and verbal communication skills.
- Proficient in computer software’s (Windows, Microsoft Outlook, Microsoft Word, Excel, Publisher, PowerPoint, etc.) and other related applications.
Required Skills:
- Strong ability to communicate in a professional and friendly manner, with employees, co-workers and customers, both in person and by phone.
- Working knowledge of Microsoft Word and Excel
- Advanced organizational skills.
Essential Duties and Responsibilities:
- Assist with customer service, donations, registration and supplies.
- Answer questions and public concerns, providing information on all Park District programs, facilities and procedures.
- Assist walk-in customers with registration. Manages multi-line telephone system.
- Process registrations and payments for Park District programs/memberships.
- Conduct household account maintenance (create, review, combine, edit).
- Maintain front desk displays for brochures and flyers set-up, if needed.
- Explain and advise the public on rules and regulations, assist with identifying the appropriate documents for specific requests and ensure timely follow-up or forwarding responses.
- Coordinate bench and tree donations for the District’s parks by communicating with donors regarding location, plaque details, sending confirmation letters, collecting payments, and maintaining records of donations and installation site.
- Provide support with Park District issued cell phones and iPads, including purchasing, account and device setup, updates, and troubleshooting device issues.
- Respond to all information emails and contact us forms submitted online.
- Assist the Customer Service and Registration Manager with waitlist enrollments.
- Responsible for reaching out to households with past due balances and collecting payments.
- May be required to serve on a Park District committee.
- Ensure all office supplies are stocked and ordered. Update internal employee phone list for both cell phones and office phones.
- Responsible for ensuring a sufficient and current supply of all office forms available.
- Must be able to work registration days, three times per year, starting at 6am.
Hours:
Regular scheduled hours for this position are Monday-Friday 9:00 AM – 5:30 PM with breaks. Due to the very nature of park district programming, early morning, evening, weekend, and some holiday hours are to be expected.
Pay Scale:
This is a Full-Time, non-exempt position. The intended starting annual pay for this position is $20.00 per hour, with a full pay scale ranging from $20.00 per hour to $26.56 per hour.
Final compensation will be determined in good faith based on an evaluation of the candidate's qualifications, experience, and the recommendation of the Customer Service and Registration Manager or the Director of Finance and HR.
