Job Description - Customer Service Representative

Customer Service Representative – Administrative (Endoscopy Scheduling)

Worcester, MA
Full-Time | Monday–Friday | 8:00 AM – 4:30 PM (40 hours/week)
3-Month Contract | Temp-to-Hire
Onsite | Local Candidates Only

Sigma Systems is seeking a Customer Service Representative – Administrative to support the Endoscopy Scheduling Department at UMass Medical Center in Worcester, MA. This is an onsite, patient-facing administrative role ideal for candidates with healthcare scheduling experience who thrive in a fast-paced clinical environment.

Key Responsibilities

  • Greet and assist patients and visitors for scheduled and urgent appointments
  • Schedule medical procedures, tests, and follow-up appointments across multiple providers
  • Confirm and verify patient demographics and insurance information
  • Obtain patient signatures for treatment consent and insurance authorization
  • Answer and route incoming phone calls; take accurate messages as needed
  • Provide patients with procedural preparation instructions (verbal, mail, or patient portal)
  • Coordinate with clinicians to prioritize appointments for optimal patient care
  • Collaborate with insurance providers to obtain prior authorizations, pre-certifications, and referrals
  • Verify eligibility for procedures and follow up on discrepancies
  • Collect co-payments, maintain payment records, and assist with daily reconciliation
  • Maintain accurate patient records, logs, and documentation in clinical systems
  • Perform general administrative duties including data entry, filing, faxing, scanning, and report preparation
  • Ensure compliance with HIPAA, referral management regulations, and departmental policies

Required Qualifications

  • High School Diploma or GED required
  • Previous scheduling experience required (medical or clinical scheduling strongly preferred)
  • 3+ years of related administrative or healthcare experience
    (Experience requirement waived with Associates or Bachelors degree)
  • Strong customer service, communication, and interpersonal skills
  • Ability to multitask and work effectively in a high-pressure healthcare environment
  • Proficiency with computer systems and specialized healthcare software
  • Professional demeanor with a strong focus on patient care and confidentiality

Preferred Qualifications

  • Experience in procedure scheduling (endoscopy, ambulatory, or specialty clinics a plus)
  • Familiarity with insurance verification, prior authorizations, and referrals
  • Associates or Bachelors degree
