Job Description - Customer Service Representative (Office Assistant)

Essential Duties and Responsibilities 


The essential functions include, but are not limited to the following: 


 



  • Answer and direct phone calls professionally 



  • Act as “first impression” of all guests who enter the building; greeting, assisting, and directing  



  • Update customers on status of their vehicle 



  • Provide exemplary customer service (EDGE) in a friendly and professional manner 



  • Daily data entry into database/systems 



  • Maintain lobby and other common areas; keep tidy and organized as well as offering beverages or snacks to guests 



  • Facilitate/Coordinate Rentals/Loaners (scheduling) 



  • Create and maintain warranty files 



  • Receive and enter incoming payments into database/system (A/R Reports) 



  • Transport customers to and from the shop when necessary 



  • Maintain communication with accounting department & assist with end-of-month process 



  • Order all office supplies as directed 



  • Maintain and oversee petty cash/cash drawer balances/deposits 



  • Tend to all incoming and outgoing mail 



  • Maintain excellent attendance record 



  • Create relationships and build positive rapport with customers 



  • Complete follow-up phone calls to customers with completed jobs and report back to GM when necessary 



  • Calling on insurance assignments 



  • Calling on opportunities list and schedule repairs accordingly 



  • All other duties not listed but assigned 



Minimum Requirements




  • Prior reception experience 3+ years (required)

  • High School Diploma/GED (required)

  • Valid and clean Driver's License (required)

  • Uphold Company Core Values (required *see below

  • Ability to withstand environmental conditions of Auto Body Shop 



  • Ability to sit for long periods of time 



  • Ability to transport customers using company vehicle as needed
